JOB OVERVIEW

We are a U.S.-based insurance agency seeking an experienced Commercial Insurance Virtual Assistant to join our team full-time. This is a long-term remote position for someone dependable, organized, punctual, and comfortable communicating directly with clients.

Responsibilities

* Communicate professionally with clients by phone, email, and text
* Make outbound calls to follow up with clients
* Assist with quoting, renewals, certificates, policy servicing, and customer service
* Collect applications, loss runs, signatures, payments, and other required information
* Submit applications and supporting documents to carriers and underwriters
* Follow up on pending submissions, quotes, renewals, and policy requests
* Prepare proposals, applications, certificates, and policy documents
* Monitor expiration dates and begin renewal follow-ups on time
* Maintain accurate notes, records, tasks, and client files
* Check carrier portals and communicate with underwriters
* Handle multiple clients, priorities, and deadlines without allowing tasks to fall through the cracks
* Escalate coverage questions and licensed activities to the appropriate licensed tea ---------- mber
* Perform other commercial insurance administrative duties as assigned

Required Qualifications

* Previous experience working with a U.S. commercial insurance agency is required
* Experience with General Liability, Workers’ Compensation, Commercial Auto, Bonds, Commercial Umbrella, and other commercial lines
* Experience with quoting, renewals, certificates, policy servicing, and client communication
* Strong spoken and written English
* Comfortable speaking directly with clients and making outbound calls
* Professional, friendly, and confident phone presence
* Excellent organization and attention to detail
* Dependable, punctual, and able to maintain a consistent schedule
* Able to manage multiple deadlines, renewals, follow-ups, and client requests
* Comfortable using CRMs, carrier portals, email, spreadsheets, and cloud-based systems
* Able to follow procedures and protect confidential client information
* Willing to learn, accept feedback, and take ownership of assigned responsibilities

Technical Requirements

Candidates must have:

* A reliable, up-to-date computer
* Fast and stable internet service
* Backup internet access, such as a mobile hotspot or secondary connection
* A reliable power-backup solution
* A professional and quiet workspace
* A quality headset with clear audio
* A working webcam for meetings
* The ability to work consistently without interruptions

Position Details

* Full-time, long-term remote position
* Working hours: 9:00 a.m. to 6:00 p.m. Pacific Time
* Candidates must be available during California business hours
* Compensation is based on commercial insurance experience, knowledge, and qualifications
* Open to qualified overseas candidates
