We are looking for someone who has already worked inside a real Amazon UK business and understands how to manage the day-to-day admin and operational tasks that keep the business performing.

About the Role
We are a fast-growing Amazon UK business looking for a high-level Amazon Admin / Operations VA to help manage and improve the backend of our FBA operations.
This role is for someone who understands that Amazon admin is not just
You must be confident in supporting core operational areas such as:
• Seller ToolKit (STK)
• Returns management
• Prep centre coordination
• Invoice management
• Buy sheet / spreadsheet updates
• Sourcing cost / cost price updates
• Inventory adjustments
• Reimbursements
• Seller Central case support / issue management
• General Amazon operations administration
We want someone who is not only organised and accurate, but also proactive and innovative — someone who can improve systems, spot problems early, and bring ideas that make the business run better.

Key Responsibilities
You will be responsible for helping manage and maintain the operational backend of the Amazon UK business, including:
1)
• Organise and manage Amazon-related
• Categorise and prioritise
• Flag urgent issues such as cancellations, prep centre problems, customer issues, or account-related matters
• Maintain clear communication and follow-up where required
2) Invoice Management
• Collect, organise, and file supplier invoices correctly
• Ensure invoices are linked to the relevant products / purchases
• Keep invoice records clean, accurate, and easy to access
• Support reconciliation between invoices, buy sheets, and inventory
3) Buy Sheet / Cost Price Management
• Update and maintain sourcing / buy sheets accurately
• Ensure cost prices are entered correctly
• Track sourcing costs
• Support accurate COGS / cost price updates
• Maintain clean and organised spreadsheets
4) Prep Centre Coordination
• Coordinate with prep centres regarding:
• incoming shipments
• check-ins
• delays
• discrepancies
• missing units
• issues with deliveries
• Follow up proactively with prep centres when needed
• Keep internal trackers updated
• Help ensure stock moves through the process correctly
5) Returns Management
• Handle and track Amazon returns
• Help manage return workflows and outcomes
• Support decision-making around:
• resellable items
• used / damaged returns
• faulty units
• disposal / removal / secondary sale routes
• Maintain accurate returns records and trackers
6) Seller ToolKit (STK) Management
• Use Seller ToolKit confidently for:
• cost price updates
• sourcing cost updates
• inventory checks
• reimbursements
• refund / discrepancy reviews
• tracking operational issues
• Identify inconsistencies or missing data
• Help keep STK accurate and up to date
7) Inventory Adjustments & Reimbursements
• Review and monitor inventory adjustments
• Understand how to identify issues relating to:
• lost inventory
• damaged inventory
• removals / disposals
• FC discrepancies
• reimbursement opportunities
• Assist in tracking and following up on Amazon reimbursements
• Help support case preparation where needed
8) Seller Central Support
• Be comfortable navigating Amazon Seller Central
• Assist with:
• checking listings / shipments / inventory status
• reviewing case history
• tracking problems
• preparing information for escalations
• identifying operational issues
9) Process Improvement / Innovation
• Suggest improvements to systems and workflows
• Identify inefficiencies and propose better ways of working
• Help make the business more organised, scalable, and efficient
• Think like an operator, not just a task-taker

• Amazon UK FBA admin / operations experience
• Seller ToolKit (STK) experience
• Returns handling experience
• Prep centre coordination experience
• Invoice management
• Spreadsheet / tracker management

• Inventory adjustments
• Reimbursements / reimbursement tracking
• Amazon Seller Central navigation and support
This role is best suited to someone who has worked in a serious Amazon UK operation before and understands the importance of accuracy, organisation, and proactive problem-solving.

Requirements (Non-Negotiable)
To be considered, you must have:
• Proven experience working in Amazon UK FBA admin / operations
• Experience using Seller ToolKit (STK)
• Experience handling Amazon returns workflows
• Experience managing or coordinating with prep centres
• Strong experience with invoice management and spreadsheet tracking
• Understanding of sourcing cost / cost price updates
• Understanding of inventory adjustments and reimbursements
• Strong knowledge of Amazon Seller Central
• High attention to detail
• Strong communication skills
• Reliability and accountability
• Ability to work independently without needing constant supervision
