JOB OVERVIEW

About the Role

I run two successful companies in London with a combined team of 70+ people. I’m looking for a highly organised, proactive, and creative Virtual Assistant who can take full ownership of my inbox, calendar, lead generation, and – most importantly – create and manage high-volume, on-brand short-form video content (Reels, TikTok, YouTube Shorts) for my lifestyle brand Henriettta.

This is a long-term, full-time role (40 hours/week) with huge growth potential (in salary) for the right person.
Key Responsibilities

1. Administrative & Executive Support

• Manage and prioritise my inbox (Microsoft) – reply on my behalf when possible, flag urgent items, keep it at zero/inbox-zero style
• Calendar management across multiple time zones – schedule meetings, calls, reminders, and block focus time
• Light bookkeeping/follow-ups (Expense tracking in Google Sheets, etc.)

2. Customer Service & Community Management

• Respond to customer/client inquiries via email, WhatsApp, Instagram/TikTok DMs
• Engage daily with the audience on social media (comments, stories, community building)

3. Lead Generation

• Run cold Instagram outreach campaigns (research leads, personalised emails, follow-ups)
• Manage excel lists and update lead pipeline

4. Short-Form Video Editing & Content Creation (Henrietta Brand – this is 50–60% of the role)

• Edit 3+ high-quality short-form videos per week (Reels, TikTok, YouTube Shorts) from raw footage
• Maintain Henriettta’s clean, elegant, luxurious aesthetic and tone at all times
• Add captions, light motion graphics, transitions, music, text overlays, and brand elements
• Design clickable thumbnails and cover images using the official Henrietta font and colour palette
• Repurpose long-form content (events, interviews, DJ sets, BTS) into multiple short-form pieces
• Research trending sounds, formats, and hooks on TikTok/Instagram and suggest ideas that align with the brand
• Upload and schedule posts across Instagram, TikTok, and YouTube Shorts with optimised captions, hashtags, and posting times
• Organise all footage in Google Drive/Notion (tagging, folders, easy searchability)
• Track analytics weekly and deliver a short report (top-performing posts, growth insights, recommendations)

5. General Marketing Support

• Draft newsletters, LinkedIn posts, and simple graphic designs (Canva)
• Create and setup events on Partiful

Requirements & Skills

Must-have:

• Fluent English (written and spoken)
• Excellent time management and extreme attention to detail
• Fast and reliable internet + backup power/internet
• Strong portfolio of short-form video editing (Reels/TikTok/Shorts) – luxury/lifestyle brands a big plus
• Expert in CapCut or Adobe Premiere Pro + After Effects (or equivalent)
• Experience adding stylish captions, transitions, and motion graphics
• Deep understanding of current TikTok & Instagram trends
• Experience managing business inboxes and calendars (preferably Gmail & Google Calendar)
• Comfortable with cold outreach and sales copy

Nice-to-have:

• Graphic design skills (Photoshop/Canva)
• Previous EA/VA experience for entrepreneurs or CEOs
• Familiarity with Notion, Slack, Klaviyo, HubSpot
• Work Hours & Availability
• Full-time (30–40 hours/week)
• Core overlapping hours: 10:00 AM – 4:00 PM London time (GMT/BST) Monday–Friday
• Some flexibility outside those hours for posting/content scheduling
