JOB OVERVIEW

Executive Virtual Assistant

We are seeking a highly organized, proactive, and reliable Executive Virtual Assistant to support daily business operations across e-commerce, customer service, project coordination, and administrative tasks.

The ideal candidate is detail-oriented, communicates clearly, takes initiative, and is comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

- Manage and organize executive email inboxes, including responding to routine messages, flagging urgent items, and following up when needed.
- Assist with project management by tracking deadlines, organizing tasks, following up with tea ---------- mbers, and ensuring projects stay on schedule.
- Assign and monitor tasks for tea ---------- mbers using project-management tools.
- Manage and monitor Shopify orders, including order status, fulfillment coordination, customer updates, and issue resolution.
- Manage Amazon orders and assist with order-related questions, returns, and customer concerns.
- Schedule social media content across designated platforms using designs and materials provided by the design team.
- Oversee customer support communications through email, messaging platforms, and other support channels.
- Handle customer questions, complaints, refunds, exchanges, and order-related requests professionally and promptly.
- Conduct influencer outreach, including researching potential partners, sending outreach messages, tracking responses, and coordinating follow-ups.
- Support calendar management, meeting scheduling, reminders, and other executive administrative needs.
- Communicate with vendors, customers, influencers, and internal tea ---------- mbers by email, chat, and phone.

Requirements

- Fluent written and spoken English.
- Comfortable and confident speaking on the phone.
- Strong communication, organization, and follow-up skills.
- Experience with email management, customer support, and administrative work.
- Familiarity with Shopify and Amazon order management is preferred.
- Experience using project-management tools such as Asana, Trello, ClickUp, ---------- , or similar platforms.
- Familiarity with social media scheduling tools is preferred.
- Ability to manage confidential information with professionalism and discretion.
- Strong attention to detail and ability to work independently.
- Reliable high-speed internet connection, computer, and phone access.
- Ability to work during agreed-upon business hours and respond to urgent matters when necessary.

Preferred Qualifications

- Previous experience as an Executive Assistant, Virtual Assistant, Operations Assistant, or E-commerce Assistant.
- Experience supporting Shopify-based brands or Amazon sellers.
- Experience with influencer marketing or outreach campaigns.
- Familiarity with customer service platforms such as Gorgias, Zendesk, Freshdesk, or similar tools.
