Title: Part-Time Executive Operations Assistant - Must Submit Video Application
Location: Remote, Philippines-based
Hours: Part-time, 2-3 hours per day, Monday to Friday (consistent daily schedule required)
Salary: Highly dependent on experience (part-time, 2-3 hours per day)

About Us
We're Pure Proposals, a consulting agency working with clients across Australia, the US, Canada, New Zealand, and the UK. We help businesses build professional proposal and quoting systems using PandaDoc. The founder handles sales and partner relationships. We have a project lead handling delivery. We need someone to own the day-to-day operations.
This is not a data entry or calendar management role. You'll be the operational backbone of a small, fast-moving agency - writing professional emails to clients, keeping our CRM accurate, and coordinating with our software partner's sales team. You'll represent the business directly.
What You'll Own

Triage the inbox daily. Flag urgent items, handle routine client responses independently.
Send post-project check-in emails to clients (professional, warm, natural tone).
Schedule calls across Australia, US, UK, and European timezones.
Keep HubSpot deals, contacts, and pipeline accurate and up to date.
Pull weekly reports (deal pipeline, commission tracking).
Coordinate with our software partner's account executives on shared opportunities.
Assemble case study drafts from project notes.
QA check outputs before they reach clients.

What We're Looking For

Excellent spoken and written English. Professional, warm, natural. Clients should not be able to tell the email wasn't written by the founder.
CRM experience (HubSpot preferred, Salesforce/Pipedrive also fine).
Reliable. 2-3 hours per day, every weekday, on schedule.
Detail-oriented. Accurate CRM data, polished client emails.
Proactive. Flag issues without being asked.

Nice to have: experience in consulting/agency environments, familiarity with PandaDoc or Notion, experience supporting a founder or executive.

5. Your salary expectation for this part-time role (2-3 hours per day, Monday to Friday).
