US Executive Assistant – Notion & Operations

About the Role

We are seeking a highly organized and proactive Executive Assistant to support a US-based executive with daily operations, project coordination, and administrative tasks. The ideal candidate has strong hands-on experience with Notion, including organizing workspaces, managing databases, building dashboards, and creating systems that improve team productivity and operational efficiency.

Key Responsibilities

* Build, organize, and maintain Notion workspaces, databases, dashboards, and task management systems.
* Manage executive calendars, meetings, emails, and follow-ups.
* Track projects, deadlines, priorities, and action items using Notion and other productivity tools.
* Develop SOPs, templates, and workflows to streamline daily operations.
* Coordinate projects, maintain documentation, and ensure information is organized and accessible.
* Conduct research, prepare reports, and support decision-making.
* Proactively identify operational gaps and recommend process improvements.

Qualifications

Proven experience as an Executive Assistant, Operations Assistant, or similar role supporting US-based executives.
Strong hands-on Notion expertise**, particularly in workspace organization, databases, dashboards, templates, and workflow management.
Excellent organizational, time-management, and multitasking skills.
Strong written and verbal communication skills.
Detail-oriented, proactive, resourceful, and comfortable working independently.
Experience with tools such as Google Workspace, Slack, Asana, or similar platforms is an advantage.
Ability to work US business hours as required.
