We are seeking a highly capable, proactive Executive Assistant to directly support the CEO. This is a high-impact role for someone who thrives in fast-paced environments, operates with an owner’s mindset, and is passionate about contributing to meaningful work—particularly within education, schools, and mission-driven organizations. This individual will serve as a strategic partner to the CEO, helping to streamline operations, manage communications, and create leverage across the business.
Location Requirement:
This role ideally supports a Pacific Time (PT) schedule, or candidates must be willing and able to work within Pacific Time business hours.
Key Responsibilities:
1. CEO Calendar & Schedule Management
* Own and optimize the CEO’s calendar with precision and foresight
* Coordinate meetings, appointments, and priorities across multiple stakeholders
* Anticipate scheduling conflicts and proactively resolve them
* Ensure the CEO is prepared for all meetings with relevant materials and context

* Manage and organize the CEO’s inbox with a focus on efficiency and clarity
* Draft, respond to, and prioritize
* Identify urgent vs. non-urgent communications and take action accordingly
* Maintain a high standard of written communication aligned with the brand
3. Research & Strategic Support
* Conduct research on clients, prospects, media opportunities, and industry trends
* Compile insights and summaries to support decision-making
* Assist in preparing reports, briefs, and internal documents
4. Administrative & Operational Support
* Support day-to-day administrative functions to ensure smooth operations
* Organize files, documents, and workflows using tools like SharePoint
* Assist with project coordination and follow-ups across initiatives using Asana
* Track time, tasks, and resource allocation using Harvest
5. Talent Sourcing & Recruiting Support
* Support hiring efforts through LinkedIn recruiting and talent research
* Identify, source, and help screen potential candidates
* Maintain organized candidate pipelines and communication
Required Skills & Experience:
* 3–5+ years experience as an Executive Assistant or Administrative Assistant supporting senior leadership
* Strong experience with calendar and
* Proficiency in Microsoft Office Suite and SharePoint
* Experience with LinkedIn recruiting / talent sourcing
* Experience using project management and time tracking tools such as Asana and Harvest
* Familiarity with AI tools such as ChatGPT and Claude
* Exceptional written and verbal communication skills
* Highly organized with strong attention to detail
* Ability to prioritize, multitask, and operate independently
Preferred Experience:
* Background working with education, schools, or non-profit organizations
* Experience in PR, communications, or agency environments
* Exposure to mission-driven or purpose-led businesses
