JOB OVERVIEW

– About the role –
Activate Law is a small, fast moving law firm serving founders and small business owners. We need an executive assistant who can run point on the founder's calendar, inbox, and daily operations, while also owning the systems that keep the firm running underneath that, ClickUp, automations, and process documentation.

This is first and foremost an assistant role. You will manage scheduling, communications, client intake coordination, and the founder's day to day workload. But we are specifically looking for someone who also has real technical range, someone who can build and maintain ClickUp workflows, wire up automations between tools, and write clear SOPs without being told exactly how, step by step.

You do not need direct legal industry experience. What matters more is experience supporting a small, process driven service business, somewhere client work moves through defined stages, documents need tracking, and the person in this seat is expected to build the system, not just use one someone else built.

– What you will do –
● Manage the attorney’s calendar, inbox triage, and scheduling across multiple ongoing client matters and personal commitments
● Own ClickUp as the firm's operating system, spaces, lists, custom fields, dashboards, automations, and keep it clean as the firm grows
● Build and maintain SOPs for recurring workflows, client intake, engagement letters, invoicing, document handling, so the firm is not reliant on institutional memory
● Coordinate the handoff between ClickUp, our accounting and time tracking tools, and document storage, and troubleshoot when something breaks
● Communicate directly with clients and vendors on the founder's behalf when appropriate
● Flag problems and propose fixes, rather than only reporting status

We want someone who sees a broken process and fixes it, who treats ClickUp and our systems as something to build, not just maintain.

– What we are looking for –
● Hands on experience with ClickUp or a comparable project management tool, including building automations, not just using existing setups
● Comfortable working with integration or automation tools, Zapier, Make, native app integrations, or similar
● Strong written English, clear and concise, comfortable drafting client facing messages
● A track record of building or improving a process, not just following one
● Independent judgment on routine decisions, someone who will make a reasonable call and tell us after, rather than waiting on every small decision
● A builder's mindset, someone who sees a gap in a system and closes it without being asked twice, and genuinely enjoys that kind of work

– Nice to have –
● Experience with QuickBooks or similar accounting software
● Experience with Dropbox or Google Drive file organization at scale
● Familiarity with e signature or document platforms, PandaDoc or similar
● Prior experience at a law firm, agency, or other client services business where matters or projects move through defined stages is a PLUS!

– Logistics –
● Full time, remote
● Overlap required with US Eastern business hours
● Compensation based on experience, details on request
