We are a fast-moving, high-output operation and we need an executive assistant who is truly exceptional — someone who thinks three steps ahead, communicates with precision, and treats their work as a craft.
This is not an entry-level support role. You will be the operational backbone of the executive's day, owning the calendar, inbox, travel, and projects with full autonomy and minimal supervision.
Our team already includes three full-time Filipino staff who've been with us for years. We invest in our people and this role is no different.

WHAT YOU WILL OWN
- Full calendar management — scheduling, prioritization, and protecting deep work time
- Inbox triage and
- Travel logistics end-to-end: flights, hotels, ground transport, visas, itineraries
- Meeting prep — agendas, briefing notes, pre-reads, and follow-up action tracking
- Project coordination across multiple stakeholders and time zones
- Research and synthesis: vendor comparisons, market briefs, due diligence support
- Document creation: SOPs, presentations, reports, and internal communications
- Personal task support: family logistics, appointments, gift sourcing, and ad hoc requests
- Process improvement — you will identify inefficiencies and propose solutions unprompted
MUST-HAVES
- 5+ years as an EA, VA, or operations role supporting senior leadership
- Excellent written English — you write clean, professional
- Mastery of Google Workspace or Microsoft 365
- Experience with project management tools (Notion, Asana, ClickUp, or similar)
- Consistent availability during US Eastern business hours (at least 4-hour overlap)
- Reliable internet — 25 Mbps minimum, with a backup connection
- Proactive communicator — you do not wait to be asked for an update
- Extreme discretion with confidential information
STRONG BONUSES
- Experience supporting founders, C-suite, or entrepreneurs
- Familiarity with AI tools (ChatGPT, Claude, Notion AI)
- Bookkeeping or light finance background
- Experience with CRM platforms (HubSpot, Salesforce)
- Prior work with US, UK, or Australian clients
