Position Overview
HomeLogic Healthcare is seeking a highly organized and proactive Executive Assistant (Project Mananager) to ssupport executive leadership while managing key operational initiatives. This role blends executive-level administrative support with project management responsibilities, including oversight of pediatric client intake, renewals, staffing coordination, and team performance.
The ideal candidate is a strong leader who thrives in a fast-paced home health environment, manages tight deadlines, and drives projects from start to finish with exceptional attention to detail and accuracy—where timeliness and compliance directly impact patient care.
Key Responsibilities
Project & Operations Management
* Manage and oversee the **pediatric client intake and renewal process** from start to finish, ensuring accuracy, compliance, and on-time completion.
* Track milestones, deadlines, dependencies, and deliverables using **project management tools such as Trello**.
* Build, maintain, and optimize Trello boards, workflows, and task assignments to ensure visibility and accountability.
* Identify risks, delays, or compliance issues and proactively implement solutions.
Team Leadership & Coordination
* Lead and manage a team of virtual staff, ensuring productivity, accountability, and adherence to established workflows.
* Assign tasks and monitor performance through Trello and other collaboration tools.
* Maintain and improve standard operating procedures to support efficient, scalable operations.
Staffing & Recruitment Tracking
* Track and coordinate the staffing, recruitment, and onboarding process for new hires supporting pediatric home health services.
* Use project management tools to monitor recruitment pipelines, onboarding milestones, and training completion.
* Ensure onboarding documentation, training, and system access are completed accurately and on schedule.
Documentation & Compliance Support
* Assist the team in collecting, organizing, and submitting **pediatric client documentation** for approvals and renewals.
* Ensure documentation meets healthcare, payer, and internal compliance requirements.
* Maintain organized digital records and trackers to support audits and reporting.
Executive Support
* Provide high-level administrative and project support to executive leadership.
* Prepare status reports, dashboards, and summaries using data from Trello and other tracking systems.
* Manage competing priorities with professionalism, discretion, and efficiency.
Qualifications & Skills
* Proven experience as an Executive Assistant, Project Manager, or Operations Cooridnator or Manager, preferably in healthcare or home health setting
* Strong proficiency with project management tools, particularly Trello, including task tracking, workflow management, and reporting.
* Experience managing remote or virtual teams.
* Exceptional organizational and time-management skills with strong attention to detail.
* Proactive problem-solver who anticipates challenges and resolves them efficiently.
* Excellent written and verbal communication skills.
* Ability to work effectively under tight deadlines in a regulated healthcare environment.
* Comfortable working with spreadsheets, digital documentation systems, and collaboration platforms.
