Job Title : Resident Trust Fund Specialist
We are looking for a detail-oriented Resident Trust Fund Specialist to help me manage resident trust fund processing and tracking across multiple healthcare and senior living facilities. To give you some context, Resident Trust Funds are simply the remaining funds from Social Security payments held on behalf of our residents—this is not an investment or wealth management role.
This is essentially an Accounts Payable (AP) and data entry-level position, so you don't need an accounting degree or prior trust fund experience to be successful here. I need someone who has strong Microsoft Excel skills, learns quickly, and communicates effectively. In this role, you’ll be working directly in National Datacare’s Resident Fund Management Service (RFMS) rather than a standard corporate accounting GL system.
Primary Responsibilities:
- Process daily entries for resident rent and trust fund payments, handling heavy transaction volumes during peak periods (especially the first week of every month).
- Accurately navigate and update the Resident Fund Management Service (RFMS) platform.
- Maintain, update, and manage Excel spreadsheets to track rent and trust fund balances across multiple facilities.
- Perform monthly reconciliations of resident trust fund accounts, identify any discrepancies, and execute individual account reconciliations as needed.
- Learn and correctly distinguish between resident trust fund dollars and facility rent amounts, understanding exactly how trust fund dollars flow between Accounts Receivable and Accounting.
- Perform daily reviews of new bank and account activity across multiple assigned locations.

Qualifications:
- Experience and background in Accounts Payable (AP), billing, data entry, or general bookkeeping is a plus.
- Strong Microsoft Excel skills, specifically the ability to manage, update, and navigate tracking spreadsheets effectively.
- Experience with RFSM systems is a plus but not required.
- High attention to detail and accuracy in data entry and record-keeping across multiple facility accounts.
- Excellent verbal and written communication skills—I need someone who is unafraid to ask questions, own their mistakes, and take accountability to solve problems efficiently.
- Strong prioritization skills with the ability to handle high-volume processing periods smoothly.
- Must be able to work during PST business hours (PH Graveyard shift).
