JOB OVERVIEW

We are seeking a detail-oriented Executive Assistant to research speaking opportunities for a U.S.-based professional speaker and event food and beverage expert.

The primary project is to identify conferences, association events, hospitality-industry programs, and professional meetings where she may be a good fit as a keynote speaker, workshop facilitator, panelist, or trainer.

Responsibilities include:
• Researching conferences and professional organizations in the United States and internationally
• Finding 2026 and 2027 event dates, locations, websites, and estimated attendance
• Identifying calls for speakers and submission deadlines
• Finding the people responsible for education, programming, conferences, or speaker selection
• Locating verified professional contact information and LinkedIn profiles
• Reviewing past conference programs and speakers to assess whether the opportunity is a good fit
• Organizing research in a clear, accurate spreadsheet
• Checking all facts against reliable sources and providing source links
• Identifying opportunities that require immediate follow-up
• Comparing opportunities against a list of organizations where the speaker has previously presented

The ideal candidate can go beyond a basic Google search. We need someone who is curious, persistent, and able to locate information across association websites, conference pages, LinkedIn, event programs, PDFs, and other public sources.

This is a research-focused position. It does not initially include contacting prospects, submitting speaker applications, or sending outreach emails.

Skills and Qualifications
• Strong written and reading comprehension in English
• Excellent online research skills
• Experience researching companies, associations, conferences, or professional contacts
• Ability to evaluate information instead of simply copying search results
• Proficiency with Google Sheets or Microsoft Excel
• Strong attention to detail and accuracy
• Ability to follow instructions and maintain consistent formatting
• Comfortable researching U.S.-based organizations and job titles
• Able to distinguish confirmed information from estimates or unverified information
• Able to work independently and communicate questions clearly
• Experience using LinkedIn for professional research
• Familiarity with the meetings, events, hospitality, association, or professional-speaking industries is helpful but not required
