JOB OVERVIEW

Responsibilities

Bookkeeping and Accounting

Full-cycle bookkeeping across multiple business entities in QuickBooks Online
Monthly close: reconciliations, categorization, accruals, clean-up
Financial statement preparation (P&L, balance sheet, cash flow)
Financial statement analysis with commentary, not just numbers
Tax compliance support and coordination with our CPA
Audit support and documentation readiness

Financial Planning and Reporting

Budgeting and forecasting across entities
Financial modeling for new offers, hires, and ad spend scenarios
Management reporting the founders can actually make decisions from
KPI monitoring and reporting on a set cadence

Revenue Operations

Invoicing and collections
Tracking and calculating commission payouts for the sales team
Reconciling payouts against closed deals and payment processors
Flagging discrepancies before they become problems

Business Operations

Process improvement and workflow optimization
Documenting SOPs so the business does not live in anyone's head
General executive admin support across both companies
Payroll and contractor administration in Gusto

Tools You Must Know

QuickBooks Online (required, non-negotiable)
Google Workspace (Sheets at an advanced level: pivot tables, lookups, clean modeling)
Gusto
Notion
GoHighLevel (GHL)
Slack
Canva

If you are strong on the accounting side and only light on Notion, GHL, or Canva, apply anyway and tell us. Those are learnable. The accounting is not.

Who We Are Looking For
Real bookkeeping experience with US-based businesses, ideally multiple entities
Comfortable owning the numbers, not just entering them
High attention to detail. Small errors compound in this role
Proactive communicator who surfaces issues early instead of hiding them
Discreet and trustworthy with sensitive financial information
Able to work independently with minimal supervision
Excellent written English

Bonus points for:
Experience with coaching, info-product, or agency business models
Experience reconciling commission structures for a sales team
Familiarity with Stripe or similar payment processors
CPA, CMA, or equivalent credential

Details
1099 independent contractor
Fully remote
Long-term engagement, not a one-off project
Some overlap with US business hours required
