Executive Assistant + Accountant + Finance Lead (EST Hours)
We are seeking a highly organized, detail-oriented professional to join our team in a high-trust hybrid role combining Executive Assistant, Accountant, and Finance Lead tasks. This position supports the executive team while owning key accounting and finance operations. The ideal candidate is also a strategic thinker who can anticipate needs, spot issues early, and propose practical improvements.

Responsibilities
1) Accounting (Core)
• Maintain accurate books and records in QuickBooks (chart of accounts, classes, vendor/customer records, etc.).
• Manage accounts payable and accounts receivable, ensuring accurate and timely processing.
• Prepare and send invoices; track collections; follow up professionally on outstanding balances.
• Perform bank and credit card reconciliations and investigate/resolve discrepancies promptly.
• Support month-end close: journal entries, accruals, account reconciliations, and reporting.
• Maintain organized supporting documentation and ensure clean audit trails.
• Coordinate with CPA/tax preparers as needed and support tax filings by providing accurate documentation.
2) Finance Lead
• Produce weekly and monthly management reporting (P&L, balance sheet, cash summary, AR/AP aging, key variances).
• Assist with cash flow planning: upcoming payables, expected receivables, runway visibility, and payment scheduling.
• Monitor budgets and spending; flag irregularities and recommend corrective actions.
• Improve basic financial controls and processes (approvals, payment workflows, documentation standards).
• Identify efficiencies and propose process improvements for bookkeeping, reporting, and office operations.
• Support audit/finance requests by maintaining documentation and responding to information requests quickly and accurately.
• Provide strategic financial insight by highlighting trends, risks, and opportunities and translating numbers into clear action items for management.
3) Executive Assistant (Executive Support)
• Manage calendars, scheduling, meeting coordination, reminders, and follow-ups.
• Draft, format, and edit professional correspondence, reports, and documents.
• Maintain task lists, track deliverables, and ensure deadlines are met without repeated reminders.
• Serve as a professional point of contact with internal/external stakeholders.
• Handle confidential and sensitive matters with discretion and good judgment.
• Support smooth day-to-day operations through proactive problem-solving and forward-thinking planning.

Qualifications
• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred).
• Minimum 5 years of accounting/finance experience with strong understanding of accounting principles.
• QuickBooks proficiency is required (candidates will be tested).
• Strong Excel skills (filters, pivot tables, lookups, basic analysis).
• Excellent written and verbal communication in American English.
• Strong organizational skills and ability to manage multiple deadlines.
• Self-motivated, reliable, and capable of working independently in a remote environment.
• Demonstrated ability to think strategically, prioritize effectively, and propose solutions—not just complete tasks.
