About the Role
We are looking for a highly organized, proactive, and professional Executive Assistant to provide high-level administrative and operational support to our executive team.
The ideal candidate is someone who can manage competing priorities, anticipate needs, handle confidential information with discretion, and keep day-to-day activities running smoothly. This role requires excellent communication skills, strong attention to detail, sound judgment, and the ability to work independently in a fast-paced environment.
Key Responsibilities
*Manage calendars, appointments, meetings, and schedules for senior executives
*Coordinate internal and external meetings, including agendas, materials, and follow-ups
*Prepare correspondence, reports, presentations, and other business documents
*Coordinate travel arrangements, accommodations, itineraries, and expense reports
*Act as a key point of contact between executives, employees, clients, and external partners
*Monitor emails and correspondence, prioritize requests, and follow up on outstanding items
*Maintain organized digital and physical files and records
*Handle sensitive and confidential information with professionalism and discretion
*Assist with planning company events, meetings, and special projects
*Track deadlines, action items, and deliverables to ensure timely completion
*Conduct research and prepare summaries or briefing materials as required
*Support executives with day-to-day administrative and operational tasks
*Identify opportunities to improve administrative processes and overall efficiency
*Take on additional projects and responsibilities as needed
Qualifications
*5+ years of experience in an Executive Assistant, Administrative Assistant, Office Manager, or similar role (preferably had executive experience from US)
*Exceptional organizational and time-management skills
*Strong written and verbal communication skills
*Excellent attention to detail and accuracy
*Ability to manage multiple priorities and meet deadlines
*Strong judgment and ability to handle confidential information
*Professional, polished, and approachable demeanor
*Ability to work independently and proactively anticipate needs
*Strong proficiency with Microsoft Office or Google Workspace
*Experience managing calendars, scheduling meetings, and coordinating travel
*Strong problem-solving and multitasking abilities
