We are seeking a highly organized, proactive Executive Assistant to provide high-level administrative and operational support across multiple growing businesses. This is a fast-paced role that requires exceptional time management, discretion, adaptability, and the ability to manage competing priorities with professionalism.
You will be a key partner to the executive, helping create structure, follow-through, and operational efficiency across multiple entities. This is not a task-only position. We are looking for someone who thinks ahead, anticipates needs, and takes ownership.
Key Responsibilities:
-Administrative & Executive Support
-Manage calendars, scheduling, and appointments across multiple businesses
-Coordinate meetings, prepare agendas, take minutes, and track action items
-Handle correspondence,
-Act as a gatekeeper and liaison between executives, partners, and stakeholders
-Operations & Business Management
-Assist with day-to-day operations across multiple business entities
-Track deadlines, deliverables, and ongoing projects
-Organize and maintain digital files and documentation systems
-Improve workflows and implement systems to increase efficiency
-Financial & Documentation Support
-Assist with invoicing, expense tracking, and bookkeeping coordination
-Prepare reports, presentations, and executive summaries
-Manage contracts, agreements, and compliance documentation
-Project & Coordination Support
-Coordinate vendors, contractors, and service providers
-Support special projects from planning through execution
-Follow up consistently to ensure timely completion of tasks
-Confidentiality & Professionalism
-Handle sensitive information with discretion and integrity
-Maintain a high level of professionalism in all communications
Required Skills & Qualifications:
-Proven experience as an Executive Assistant (minimum 3+ years preferred)
-Experience supporting multiple executives or businesses is a strong advantage
-Excellent written and verbal English communication skills
-Strong organizational and multitasking abilities
Proficiency with:
-Google Workspace
-Calendar management tools
-Project management systems (Asana, ClickUp, Monday, etc.)
-Ability to work independently and anticipate needs
-High attention to detail and strong problem-solving skills
Work Requirements:
-Full-time position
-Must be available during U.S. business hours (Central Time preferred overlap)
-Reliable high-speed internet
