We are hiring a world-class Executive Assistant to support the CEO of a fast-growing training and coaching company. This is not an admin role. This is a strategic support position for someone who thinks ahead, solves problems before they appear, and creates systems that keep the CEO operating at peak performance.

The Mission
Your mission is simple to define and challenging to execute:
Make the CEO more effective every single day.
That means using strong judgment, fast thinking, and high personal ownership to manage communication, close loops, and eliminate friction across the business.
Key Responsibilities
Communication & Inbox Leadership
• Own the CEO’s inbox completely
• Prioritize, filter, and respond to
• Escalate only what truly requires CEO attention
• Maintain a robust follow-up system that ensures nothing slips
Calendar & Meeting Orchestration
• Proactively manage and optimize the CEO’s schedule
• Prepare agendas, notes, and context for key meetings
• Capture decisions and action items, then drive follow-through
• Coordinate with internal teams, clients, and partners
Operational Systems & Rhythm
• Build simple, repeatable systems that improve efficiency
• Maintain digital organization and documentation
• Create SOPs for recurring tasks
• Identify problems and solve them without waiting for direction
Follow-Up & Accountability
• Track commitments across the company
• Nudge tea
• Close loops quickly and cleanly
• Ensure execution stays tight and predictable
Logistics & Personal Support
• Coordinate travel arrangements and itineraries
• Handle personal logistics that impact business performance
• Reduce the CEO’s cognitive load wherever possible
Who You Are

Requirements
• 2+ years as an Executive Assistant, Chief of Staff, or Operations Coordinator
• Strong English writing and communication
• Prior experience supporting US-based executives
• Proven track record of building systems or improving operations
• Ability to make decisions with incomplete information

Compensation
Based on experience.
Full-time (40 hrs) option available.
