We are seeking a proactive and highly organized Executive Assistant (VA) to work directly with the Managing Partner of a logistics and in-home services company. This role is central to supporting leadership in sales, marketing, operations, staffing, and business growth. The Executive Assistant will act as a trusted partner, helping manage priorities, streamline communication, and ensure the smooth execution of business initiatives.
Key Responsibilities
Executive Support
Serve as the primary point of contact for the Managing Partner.
Manage calendars, appointments, and communications.
Prepare reports, presentations, and meeting notes.
Track priorities and ensure deadlines are met.
Sales Management Support
Maintain and update CRM systems with leads and opportunities.
Prepare sales reports, assist with client proposals, and track follow-ups.
Support customer communication and service agreements.
Marketing Management
Coordinate digital marketing activities (SEO, Google Ads, Meta,
Draft and schedule social media content.
Track campaign performance and prepare marketing reports.
Operations Management
Assist with daily scheduling and dispatching of service crews.
Maintain accurate records of jobs, invoices, and workflows.
Support vendor and supplier coordination.
Staffing Management
Post job ads, coordinate candidate interviews, and support hiring.
Help manage onboarding and training schedules.
Maintain staff rosters, availability, and performance tracking.
Growth & Development
Conduct research on competitors and new business opportunities.
Support partnership outreach and client relationship building.
Assist with strategic projects that drive business expansion.
Qualifications
Prior experience as a Virtual Assistant, Executive Assistant, or Business Support role.
Familiarity with logistics, moving, or service-based industries (preferred).
Excellent communication skills (written and verbal).
Strong organizational and time management abilities.
Skilled with Google Workspace, Microsoft Office, CRM tools, and project management software (Asana, Trello, Monday, etc.).
Social media and digital marketing experience a plus.
Ability to work independently and exercise discretion with confidential information.
Work Environment & Schedule
Fully remote, supporting the Managing Partner directly.
Must be available during U.S. business hours.
Flexible schedule with potential for growth into a long-term leadership support role.
