Executive Assistant — Recruiting Operations
US Eastern hours · Remote (Philippines) · Full-time, long-term
We’re a US-based recruiting and RPO firm hiring at volume for skilled-trades and manufacturing clients, and we need an Executive Assistant who runs our operation like it’s their own — someone who anticipates what the team needs before we ask and keeps everything moving without being told. You’ll be the operational right hand to our account manager and recruiters. We have plenty of process; what we need is the judgment to run it and the ownership to get ahead of problems before they land on someone’s desk.
The person we’re looking for
You think in outcomes, not tickets. When a recruiter forgets to update the tracker, you catch it before the recap is due and chase it down. When a role has sat untouched, you flag it. When the same error keeps recurring, you don’t just fix it — you tell us how to stop it. You hold the moving pieces so the team doesn’t have to, and you stay calm when five things hit at once because you know which one matters first.
What you’ll own
● A clean, current pipeline — resumes uploaded and filed in our ATS (Workable), duplicates caught, statuses accurate as roles open and close
● Data the team can trust — hiring spreadsheets, tracker, and ATS kept in sync, with discrepancies surfaced before they become problems
● New roles ready before they’re needed — postings, interview guides, and Indeed projects built from our templates ahead of demand
● Interviews without friction — you own the scheduling logistics and stay ahead of reschedules and no-shows
● Reporting on time, every time — you assemble our weekly client recaps and operations report, chasing what’s missing so the account manager can review and send
● A team a step ahead — you anticipate what’s coming, prep the recurring meetings, and raise what needs attention before it turns urgent
Long-term seat with real ownership on one dedicated account team — not a rotating gig. You’ll start with a defined scope and take on more as you earn trust.
One clarification: you won’t screen candidates, make hiring decisions, or handle client calls — those stay with our recruiters and account manager. Everything that keeps the operation a step ahead of the team is yours to own.
What you’ll need
● Experience as an executive assistant or right-hand to a busy leader or team — real responsibility, genuine autonomy
● A track record of anticipating needs and owning outcomes, not just completing assigned tasks
● Hands-on database experience and confident Google Sheets / Excel skills
● Sharp attention to detail and excellent written English
● The judgment to know when to run the playbook, when to improve it, and when to raise a flag
Nice to have: Executive supporting experience
Schedule & setup
Full-time, US Eastern business hours — an evening-to-overnight shift in the Philippines, with guaranteed overlap through the US morning. Requires reliable high-speed internet with a backup connection and backup power (UPS or generator).
