About the Role:
I’m looking for a highly skilled Excel & Automation Specialist to assist with building advanced spreadsheets, dashboards, workflow tools, and data-collection systems that support clinical and operational workflows at Next Level Recovery, an outpatient addiction treatment center. This role is ideal for someone who is highly analytical, detail-oriented, creative in designing professional layouts, and capable of transforming undefined ideas into clean systems.
Your work will directly support clinical staff, management, and compliance operations by creating tools that are easy to use, visually engaging, and automation-driven.
Key Project: “Client Treatment Tracker” Dashboard System
One of the first major projects you’ll lead is developing a comprehensive Client Treatment Tracker, a visual dashboard system used by clinicians and leadership to monitor client progress throughout their program. This will be built primarily in Excel/Google Sheets with automations and form integrations.
The Client Treatment Tracker will include:
1. Client Progress Dashboard
A visually strong, easy-to-read dashboard showing:
- Attendance & participation history
- Level-of-care phase (PHP/IOP/OP)
- Clinical assignments completed
- Treatment goals & progress
- UA tracking (urinalysis results)
- Individual & group session notes logged
- Risk flags or compliance issues
- Discharge readiness indicators
2. Automated Data Input Workflow
You’ll create or integrate:
- Forms (Google Forms / MS Forms / Typeform) to submit clinical data
- Automated routing of form responses into the spreadsheet
- Macros or scripts that update charts/dashboards in real time
3. Clinical Staff Interface
- Tools should be extremely user-friendly:
- Clear buttons or menus to input/update client data
- Protected formulas and structured tables
- Conditional formatting for alerts (missed sessions, positive UDS, etc.)
4. Administrative & Compliance Exports
- Automatic generation of reports (weekly attendance, clinical compliance, risk monitoring, etc.)
- Exportable data for state licensing and accreditation audits (Joint Commission)
- Built-in quality assurance tracking
5. Strong Visual Design
-All dashboards should be:
- Clean and professional, with intuitive navigation
- Designed to look good in tea
- Color-coded for readability
- Designed with UI/UX best practices in spreadsheets
Responsibilities
- Build advanced Excel and Google Sheets systems with formulas, pivots, conditional formatting, and automation features
- Develop macros (VBA or Apps Script) to automate repetitive tasks
- Create flowcharts and workflows using tools such as L
- Build form integrations (Google Forms, JotForm, Typeform, etc.) that flow into spreadsheets
- Create visually appealing and intuitive dashboards for staff and leadership
- Collaborate with me to translate rough ideas into polished, functioning tools
- Improve existing internal spreadsheets and standardize formats
- Assist with ongoing documentation for operational and compliance workflows
- Maintain accuracy, data organization, and version control
Qualifications
- Advanced Excel skills required:
- Index/Match, XLOOKUP, pivot tables, dynamic arrays
- PowerQuery, PowerPivot (a plus)
- VBA scripting or Google Apps Script
- Strong experience building dashboards and data visualization systems
- Experience designing data-collection workflows (forms ? automation ? dashboards)
- Great sense of layout, formatting, and clean spreadsheet design
- Experience working with healthcare, operations, or complex tracking systems is a plus
- Ability to follow SOPs and create documentation as needed
- Proactive, detail-focused, and comfortable suggesting improvements
- Must be reliable, communicative, and organized
Hours & Compensation
- Very part-time to start (5–10 hrs/week)
- More hours available depending on performance and breadth of skill
- Paid per hour
- Long-term ongoing work available
