Position Summary
Present ---------- nts is seeking a detail-oriented and systems-driven Estimating Coordinator / JobTread VA to support estimate creation across SafeNest Accessible Modifications (SAM) and Phoenix Pro Management.
This role is responsible for reviewing field observations, EAA recommendations, photos, and scope documentation, then accurately building estimates within JobTread using established templates and assemblies.
Projects primarily include:
• Grab bars
• Wheelchair ramps
• Bathroom modifications
• Accessibility improvements
• Minor residential modifications
This is not a senior estimator role. The systems, templates, assemblies, and pricing structures already exist. Success in this role comes from attention to detail, strong comprehension skills, process discipline, and the ability to translate written field documentation into accurate estimate builds.
Primary Objective
To accurately build and organize estimates inside JobTread based on field reports, EAA recommendations, and established company assemblies while ensuring pricing structure, client requirements, and approval workflows are followed correctly.
Key Responsibilities
1. Estimate Build & Assembly Selection
• Build estimates inside JobTread using established templates and assemblies
• Select appropriate assemblies based on field observations and EAA recommendations
• Apply proper pricing structures based on specific client requirements
• Ensure estimates are complete, accurate, and aligned with company standards
2. Report Interpretation & Scope Translation
• Read and interpret English field reports, inspection notes, and EAA recommendations
• Translate written scope details into structured estimate line items
• Review photos and documentation to support estimate accuracy
• Identify when additional information or clarification is required
3. Approval Workflow Management
• Submit completed estimates through the appropriate approval workflow
• Route larger or more complex estimates to Project Management for review
• Independently process smaller requests that fall within approved guidelines
• Maintain clear status tracking throughout the estimate lifecycle
4. System Accuracy & Documentation
• Maintain organized and complete records within JobTread
• Upload supporting documents, notes, and photos appropriately
• Ensure client-specific pricing and formatting standards are followed
• Communicate inconsistencies, missing information, or scope concerns proactively

Requirements
• Experience using JobTread strongly preferred
• Strong written English comprehension
• Ability to interpret field reports and scope documentation
• High attention to detail and organizational discipline
• Comfortable working within structured systems and workflows
• Ability to identify when clarification or escalation is needed

Preferred Experience
• Construction estimating support
• Residential remodeling or accessibility modification experience
• Experience with EAA or insurance-related documentation
• Virtual Assistant experience supporting operations or estimating teams
