JOB OVERVIEW

ROLE OVERVIEW
We are seeking a tech-savvy and detail-oriented Virtual Assistant to support our engineering team. This role increases engineering capacity by handling technical tool support, workflow automation, data management, and documentation, keeping our processes accurate, efficient, and ready for engineering review.

KEY RESPONSIBILITIES
1. Engineering Workflow & Project Support
- Assist with internal project coordination, including status updates, follow-ups, and task tracking across active projects.
- Maintain internal project trackers, ensuring all tasks, submittals, and job files are current and properly labeled.
- Organize job files, inputs, calculations, and supporting documentation to ensure smooth engineering execution.
- Update and maintain project data across relevant platforms to keep records accurate and current.

2. Excel / Blockpad Transition Support
- Review and interpret existing Excel calculators and workbooks; map logic and structure into new engineering tools as directed.
- Recreate formulas, variable logic, and calculation flows in the target platform (e.g., Blockpad) under direct engineering guidance.
- Validate outputs against expected results and flag any discrepancies for engineering review.
- Provide occasional support for Blockpad-specific tasks as assigned.

3. Technical Operations & Automation Support
- Assist with workflow automation initiatives using Microsoft Power Automate and PowerShell.
- Support the development of reusable templates, standardized calculation sets, and structured file-routing logic.
- Identify and implement opportunities to reduce manual, repetitive steps across engineering workflows.

4. Communication & Documentation
- Provide clear, timely written updates on task progress, blockers, and next steps.
- Document internal processes and create simple guides or checklists for repeatable engineering tasks.
- Maintain accurate document control for design submittals, project logs, and client markups.

REQUIRED SKILLS & TOOLS
- Microsoft Excel — Advanced proficiency (formulas, pivot tables, structured workbooks, data validation)
- Power Automate / PowerShell — Working knowledge of workflow automation
- PDF markup & document control — Experience with submittal logs and project documentation
- Technical Writing — Ability to document processes clearly and concisely
- Communication — Excellent written and spoken English; responsive and proactive
- Hardware Specifications — Minimum of 16GB RAM, 250 GB storage, i7 Generation CPU or better.

PREFERRED QUALIFICATIONS
- Blockpad — Basic familiarity or willingness to learn on the job
- Background in engineering support, technical administration, or a related field
- Familiarity with structural engineering terminology, drawing organization, and design documentation
- Experience working with engineering platforms or calculation tools
- Ability to work independently with minimal supervision in a remote environment
