JOB OVERVIEW

Overview:
We are looking for a reliable and detail-oriented Operations Assistant to support daily backend operations and help ensure smooth coordination across teams. This role is ideal for someone organized, proactive, and comfortable working with systems, processes, and cross-functional teams.

Key Responsibilities:

1. Daily Operations Support
Assist in managing day-to-day backend operations
Help ensure tasks across teams are completed on time
Monitor workflows and flag any delays or issues

2. Automation & System Support
Assist in monitoring automations (funnels, workflows, backend processes)
Coordinate with the Dev team for fixes or updates when needed
Help maintain accuracy and functionality of systems

3. Data & Task Monitoring
Review data outputs and flag inconsistencies
Help track performance and ensure tasks are properly executed
Support reporting and basic data analysis

4. Fulfillment & Coordination
Assist in coordinating with suppliers and 3PL for shipping and order updates
Follow up on delays or fulfillment concerns
Help ensure smooth communication between teams

5. Customer Support Backend Support
Support the CS team with backend-related tasks
Assist with SOP updates and process improvements
Help manage escalations or internal follow-ups

6. Team Support & Coordination
Work closely with Operations, CS, Dev, and Data teams
Help maintain accountability and organization across tasks
Provide general support wherever needed

7. Payroll & Billing Support
Assist with payroll tracking for tea ---------- mbers
Manage partner invoices and billing coordination
Handle light bookkeeping tasks and ensure records are organized

Requirements:
Experience in e-commerce, operations, customer support, or administrative roles
Strong organizational and multitasking skills
Attention to detail and ability to follow processes
Basic data analysis and reporting skills
Good communication skills
Ability to work independently and stay proactive

Nice to Have:
Familiarity with Zendesk, Gorgias, or similar tools
Experience with automation tools or backend systems
Basic bookkeeping or finance tracking experience
Understanding of SOPs and workflow optimization

We’re not looking for a typical VA. We need someone dependable, organized, and capable of handling real operational responsibility. This role requires strong ownership, the ability to think critically, follow systems efficiently, and support multiple moving parts without constant supervision. You should be comfortable working across teams, solving problems, and keeping operations running smoothly behind the scenes.
