Executive Virtual Assistant - Farm Girl - only apply if you have taken the tests : English must be C1 - IQ 120+ & 2 years + experience
We’re looking for a highly organised, proactive and reliable Virtual Assistant to support the day-to-day running of Farm Girl.
This is a remote role, working closely with SJ and the on-site team, helping manage the backend of the business across admin, systems, communication and support.
Farm Girl is a busy wellness space with 7 therapists and one on-site admin lady, alongside Farm Girl Facial and additional wellness offerings. This role supports across all areas of the business and requires strong organisation, responsiveness and attention to detail.
About the Role
This is a varied support role focused on keeping the business running smoothly behind the scenes.
You will not be the main person managing the diaries, but you will act as a support and back-up to the on-site admin, helping ensure therapist schedules, bookings and client communication continue to run smoothly when needed.
You will need to be communicating with clients via WhatsApp and messaging, so it’s really important you can match our tone — warm, calm, professional and helpful.
You’ll also be expected to learn our booking system (Phorest), and over time become confident in running reports and identifying patterns — such as gaps in bookings, client retention and general trends — and flagging these back to SJ (founder)
Key Responsibilities
Admin & Operations
Supporting SJ with day-to-day admin and organisation
Managing general business admin across multiple areas
Assisting with urgent queries outside of on-site hours when needed
Diary & Booking Support (Back-Up)
Supporting the on-site admin with diary management when required
Reviewing the diary to understand therapist availability
Identifying gaps and flagging opportunities to fill appointments
Assisting with booking adjustments and client coordination
Sending consultation forms to clients if they haven't filled them in
Supporting Phorest backend (training provided)
Client Communication
Responding to WhatsApp messages where needed
Assisting with Instagra
Replying to Google reviews weekly
Ensuring all communication feels aligned with our brand (warm, thoughtful, professional)
Finance & Reporting Support
Maintaining a finance spreadsheet
Filing and organising invoices
Sending weekly invoices to the bookkeeper
Supporting with reporting through Phorest
Supplier & Stock Coordination
Monitoring stock levels and supporting retail product ordering
Placing orders with suppliers when required
Following up on deliveries and ensuring stock arrives on time
Liaising with suppliers regarding products, branding or any issues
Helping ensure the business is always well stocked and prepared
Digital Support
Managing Shopify listings
Uploading and organising content, including saving facial videos and assets
HR & Team Support
Logging sickness and updating records
Supporting rotas and team coordination
Keeping contracts and records organised
Farm Girl Facial - Training academy
Supporting admin for training and courses
Assisting with onboarding
Events
Supporting admin for events and wellness sessions
We’re Looking For Someone Who:
Is highly organised and detail-oriented
Is very responsive and reliable
Communicates clearly and naturally (written English is very important)
Can match a warm, calm and professional tone when messaging clients
Is confident learning new systems (including booking systems like Phorest)
Is comfortable working with data and willing to learn how to run reports and identify trends
Is able to support and step in where needed, working alongside an on-site admin
Can manage multiple tasks across different areas of the business
Is able to work within UK business hours
Is available to support occasional urgent enquiries (including some Saturday mornings)
Has previous experience as a Virtual Assistant or similar role
