JOB OVERVIEW

We are seeking a high-level Executive Assistant to work directly with the founder of a growing multi-company business. This is not a basic admin role. We are looking for someone who can operate with professionalism, discretion, urgency, and strong business judgment.

You will serve as a trusted right hand to the executive, helping manage priorities, communications, scheduling, coordination, follow-up, and special projects across multiple business activities. The right person is highly organized, calm under pressure, detail-oriented, and able to keep moving parts under control without needing constant direction.

This role is best suited for someone who takes pride in excellence, communicates clearly, thinks ahead, and knows how to protect an executive’s time and attention.

What You’ll Be Responsible For

Managing the executive’s calendar, schedule, and shifting priorities
Monitoring and organizing inboxes and ensuring important items are surfaced quickly
Following up on outstanding tasks, deadlines, and deliverables
Coordinating with internal tea ---------- mbers, vendors, clients, and external contacts
Handling research, reporting, and administrative support with a high level of accuracy
Preparing summaries, documents, spreadsheets, and internal communications
Helping ensure execution across multiple projects and business functions
Maintaining organization across files, systems, and business records
Anticipating needs, solving problems, and reducing friction for the executive
Serving as a reliable gatekeeper and operator who helps keep the business leader focused on highest-value activities

Required Experience

Previous experience as an Executive Assistant supporting an owner, founder, CEO, or senior executive
Strong experience with calendar management, communications, follow-up, and executive support
Excellent command of English
Strong proficiency with Google Workspace, spreadsheets, documents, and online business tools
Proven ability to work independently and maintain high standards without micromanagement
Stable internet connection and professional remote work setup

Strongly Preferred

Experience supporting US-based executives or companies
Experience in operations, project coordination, or business support
Strong judgment in handling confidential information and executive communications
Ability to create order in fast-moving environments
Experience working across multiple business functions or entities
