SUMMARY:
Seeking a seasoned estimator with strong HVAC and mechanical construction experience and a solid understanding of U.S. construction standards and the imperial measurement system. Proficiency in QuoteSoft is a plus. Must be highly detail-oriented and able to collaborate effectively within a team-driven environment.
PURPOSE:
The Estimator Coordinator serves as the central hub connecting estimating, planning, and field operations. This role owns the BuildOps planning board and ensures every HVAC and mechanical project follows a clear, measurable, and continuously updated plan. Acting as the link between the U.S. leadership team and remote estimating support staff, the Estimator Coordinator maintains workflow alignment, cost accuracy, and schedule integrity across all projects.
RESPONSIBILITIES:
1. Compile working mechanical estimates from completed take-offs, budgets, and scope documents for HVAC projects.
2. Convert estimates into BuildOps for project management, ensuring all quantities, assemblies, and cost codes are accurately transferred for execution.
3. Maintain continuity across teams by documenting and communicating actions, irregularities, and ongoing needs between estimating, fabrication, and field operations.
4. Own the BuildOps Planning Board: Maintain and update active job schedules, milestones, and task progress to ensure accuracy and visibility.
5. Lead Weekly Plan Reviews: Responsible for recurring plan meetings, roll plans forward, and confirm that each project has current priorities, dependencies, and next steps.
6. Coordinate Estimating & Operations Handoff: Ensure that project data, quantities, and scope details transition cleanly from estimating into planning and execution.
7. Liaison Between U.S. Team and Remote Assistants: Route tasks to estimating and data support staff, verify deliverables, ensure quality control, and close communication loops.
8. Maintain Technical Detail: Verify that milestones include all necessary quantities, material take-offs, and dependencies to support accurate scheduling and field execution.
9. Monitor Progress & Accountability: Track updates, flag bottlenecks, and communicate issues proactively to management and project leads.
10. Support Continuous Improvement: Recommend template, process, or data enhancements to improve coordination between estimating, planning, and field operations.
