JOB OVERVIEW

We are looking for a reliable, detail-oriented Virtual Assistant to help us grow and operate our e-commerce store.

This role combines:

- product research and catalog expansion

- customer support by email

- coordination with our supplier contact

- basic use of product research / spy tools such as Winning Hunter

At the ---------- nt, the main priority of this role is helping us expand our store with quality products that fit our niche and brand aesthetic. Customer support is also important, but support volume is currently manageable, so a larger share of the role will focus on product research and catalog building.

We are looking for someone who is organized, calm, proactive, detail-oriented, and able to work independently.

This is a part-time role to start, with an expected workload of around 4 hours per day.

Main Focus of the Role

The main focus of this role is helping us expand our catalog in stages.

Short-term goal

Over the next 2 months, we want to grow our catalog from around 150 products to 300–400 products.

Longer-term goal

After that, over the following 6 months, we want to continue scaling the catalog significantly, with the long-term target of reaching approximately 1,000–2,000 products, while maintaining product quality, niche fit, and store consistency.

Customer support and supplier coordination are important daily responsibilities, but product research and catalog expansion will be the bigger priority.

Estimated time allocation:

- 60–70% product research and catalog work

- 20–30% customer support and supplier coordination

- 10?min and reporting

This balance may change over time as the business grows.

Main Responsibilities:

1) Product Research and Catalog Expansion

Find products that fit our niche, aesthetic, and store direction

Research competitors and similar stores

Use tools such as Winning Hunter and similar spy tools when helpful

Look for products with strong selling potential, not random items

Check supplier options and basic product viability

Organize product information in Google Sheets

Prepare products for upload to the store

Help us consistently expand the catalog with quality products

Expected target:

approximately 4–6 quality products per day

or 20–30 quality products per week, depending on support workload

2) Customer Support

Manage the customer support inbox daily

Reply to emails about:

order status

shipping delays

damaged items

missing items

incorrect items

returns and refunds

product questions

Review customer photos and order details for claims

Follow our SOPs for refunds, replacements, and reships

Keep support cases organized and updated

3) Customer Issue Resolution + Supplier Coordination

This role is not just about replying to customer emails.

After reviewing a customer issue, you will coordinate directly with our supplier contact in China to help resolve the case.

This includes:

sending the issue details to our supplier-side contact

checking whether the correct solution is:

replacement

reshipment

refund

partial refund

new tracking number

following up until the issue is resolved

updating the customer with the confirmed next step

recording the case and final outcome clearly

Your job is to manage normal customer cases from first email to final resolution.

4) Daily Reporting

Report how many emails were processed

Report any open supplier follow-ups

Report how many products were researched / prepared

Highlight important issues or interesting product opportunities

Required Skills:

Excellent written English

Good spoken English

Previous experience in e-commerce, customer support, product research, or VA work

Strong attention to detail

Ability to work independently and stay organized

Ability to communicate professionally with customers and suppliers

Comfortable using Gmail, Google Sheets, Shopify, and admin tools

Ability to follow SOPs and make practical decisions
