JOB OVERVIEW

If you have no previous experience managing people, projects and deadlines, please do not apply.
We are not looking for a basic Virtual Assistant who waits for instructions. We need an experienced, proactive and highly organized Operations Manager who can lead a remote team, solve problems and ensure that every project is completed correctly and on time.
ABOUT THE ROLE
We manage multiple online businesses, creative projects and e-commerce brands. We are also preparing to research, develop and launch new consumer products for international markets.
You will work directly with the founder, learn how he thinks, understand his standards and gradually take responsibility for managing daily business operations.
Your main responsibility will be to turn the founder’s ideas into clear plans, assign tasks to the team, track progress, maintain quality and ensure that nothing is forgotten.
You will become the main connection between the founder and the remote team.
YOUR RESPONSIBILITIES
• Manage the daily workflow of our remote team
• Assign clear tasks, owners, priorities and deadlines
• Follow up with team members and hold them accountable
• Ensure that work is completed correctly and on time
• Review deliverables before sending them to the founder
• Manage editors, designers, researchers, marketers and other team members
• Coordinate multiple projects simultaneously
• Turn the founder’s ideas into structured execution plans
• Research and evaluate new products and business opportunities
• Coordinate product research, development and launch preparation
• Help manage future e-commerce and consumer-product launches
• Coordinate between product research, branding, website, creative and marketing teams
• Identify delays, problems and missing information before they become serious
• Communicate problems clearly and recommend solutions
• Build and document SOPs for recurring business processes
• Organize company files, project boards and team communication
• Lead daily or weekly team check-ins when necessary
• Prepare clear daily and weekly reports for the founder
• Track KPIs, deadlines, priorities and team performance
• Help recruit, onboard and train new team members
• Continuously improve the team’s systems and workflows
WHO WE ARE LOOKING FOR
• Minimum two years of experience in operations or project management
• Proven experience managing remote employees or freelancers
• Experience managing at least 3–5 team members
• Strong understanding of e-commerce and digital marketing
• Experience coordinating product or business launches
• Excellent written and spoken English
• Strong leadership and communication skills
• Exceptional organization and attention to detail
• Ability to manage several projects and deadlines simultaneously
• Comfortable giving feedback and holding team members accountable
• Proactive and able to work without constant supervision
• Strong problem-solving and decision-making skills
• Able to learn quickly and adapt to changing priorities
• Comfortable working directly with a fast-moving founder
• Honest, reliable, loyal and interested in a long-term position
PREFERRED EXPERIENCE
Experience in some of the following areas is preferred:
• Shopify and e-commerce operations
• Product research and competitor analysis
• Product launches for international markets
• Digital marketing and social media content
• Meta Ads, TikTok Ads or Google Ads
• AI content creation and AI tools
• ClickUp, Notion, Asana, Monday or Trello
• Google Drive, Google Docs and Google Sheets
• Slack, WhatsApp and Loom
• Building SOPs and internal company systems
• Managing creative teams and video editors
WHAT SUCCESS LOOKS LIKE
After your training period:
• The founder does not need to remind the team about tasks
• Every task has an owner, deadline and clear instructions
• Team members are followed up with consistently
• Delays and problems are identified early
• Projects continue moving even when the founder is unavailable
• The founder receives clear reports without having to ask for updates
• You understand the founder’s standards and protect the quality of the company’s work
WORKING RELATIONSHIP
During the first few weeks, you will work closely with the founder to understand the businesses, team members, expectations and working style.
Over time, you will be expected to take greater ownership and become the person who keeps the entire operation organized and moving forward.
This is a long-term opportunity with the potential for increased responsibility and a leadership position as the company grows.
