Job Overview
I’m looking for a very reliable and detail-oriented Virtual Assistant to handle fulfilment communication between:
- My coaching customers
- Our fulfilment partner (FB Fulfilment)
You will:
- Work with Dutch customer messages (using ChatGPT for translation)
- Check order statuses
- Communicate with fulfilment
- Log cases in Google Sheets
- Send daily updates in
This is a long-term position with stable daily work.
You must be someone who takes ownership, follows SOPs, and thinks proactively.

Main Responsibilities
- Translate Dutch customer messages ? English ? take action ? translate reply back to Dutch
- Communicate with FB Fulfilment via

- Maintain a clear Google Sheet log (order #, issue, action taken, follow-up)
- Follow up with fulfilment if no response before internal deadline
- Reply to customers via WhatsApp Business in professional Dutch

As you grow into this role, you may take on more responsibility, such as:
- Answering common client questions in our coaching program (
- Assisting with client invoicing — for example:
- Creating and sending monthly fulfilment invoices
- Splitting fulfilment costs per client (with excell)
These tasks will only be added once you’re ready, meaning:
- You understand the

- You can confidently answer recurring questions

Requirements
- Excellent English
- Able to translate Dutch ? English using ChatGPT flawlessly
- Very structured, detail-oriented, and reliable
- Can follow procedures with precision
- Thinks ahead and improves systems
- Fast response time
- Experience with e-commerce, logistics, Shopify, Amazon, or customer support is a plus
