JOB DESCRIPTION

LuxLoveLouis is a growing U.S.-based luxury resale business looking for a reliable, highly organized, and detail-oriented Virtual Assistant based in the Philippines.

This is a long-term, part-time position supporting our day-to-day e-commerce operations, social media, customer service, content creation, and administrative work.

We are looking for someone who is proactive, dependable, quick to learn, able to work independently, and highly accurate. The right candidate should be someone who stays on top of tasks without needing constant reminders and takes ownership of their responsibilities.

KEY RESPONSIBILITIES

• Edit and prepare product photos for weekly product drops of 50+ items

• Create Instagram Stories for products using provided photos, product names, and pricing

• Monitor Instagram DMs during scheduled product drops and accurately identify the first customer to claim “SOLD”

• Prepare customer invoices and accurately record sales

• Update sales, inventory, and consignment spreadsheets

• Upload products, photos, pricing, descriptions, and other information to our e-commerce website

• Edit raw video footage into polished Instagram Reels and TikToks

• Schedule and publish social media content

• Assist with email marketing campaigns

• Respond professionally to customer messages and general inquiries

• Send customers tracking information and order updates

• Maintain and update consignor sales and payout spreadsheets

• Organize digital files, product information, and business records

• Assist with additional e-commerce and administrative tasks as needed

WHO WE ARE LOOKING FOR

• Extremely detail-oriented and accurate

• Highly organized and able to manage multiple responsibilities

• Proactive and able to identify what needs to be done without constant supervision

• Strong written English and customer-service skills

• Reliable, responsive, and professional

• Able to follow established procedures, systems, and checklists consistently

• Comfortable working quickly and accurately during scheduled product drops

• Experience with e-commerce platforms such as Shopify

• Experience using Instagram and TikTok for business

• Strong Canva or similar photo-editing skills

• Able to edit short-form videos for Instagram Reels and TikTok

• Comfortable using Google Sheets or Excel

• Comfortable learning new software and business systems

• Able to communicate clearly when there is a problem or something is unclear

• Reliable computer and high-speed internet connection

Experience with luxury resale, handbags, fashion, retail, or another product-based e-commerce business is a plus, but it is not required.

SCHEDULE

Approximately 20 hours per week to start, with the opportunity for additional hours as the role grows.

Most work can be completed remotely on an agreed schedule. However, you must be available to overlap with U.S. Eastern Time during scheduled product drops and other time-sensitive sales periods.

Exact scheduling requirements will be discussed during the interview.

COMPENSATION

$7–$9 USD per hour depending on experience, skills, and demonstrated ability.

We are willing to pay toward the higher end of the range for someone who demonstrates strong e-commerce experience, excellent attention to detail, independence, reliability, and the ability to take ownership of their work.

We use 1Password to securely manage business account access. Previous 1Password experience is not required, but you must be comfortable following security procedures and using a password manager.

Access to sensitive business systems will be limited according to job responsibilities.
