TopFoxx is a fast growing women owned DTC sunglasses and accessories brand. Our slogan is “sunglasses with a solution.” We create innovative, functional luxury eyewear such as floating sunglasses, tangle free aviators, foldable pocket sunnies, mood boosting lenses, and more.


We are a lean, fast moving ecommerce company with a limited budget. This is a multi hat Operations Manager role for someone who is tech savvy, analytical, resourceful, and confident leading execution across teams.

Your primary responsibility will be owning vendor operations and the global supply chain. This includes managing Chinese suppliers, coordinating with our fulfillment center, building production timelines, maintaining quality control, ensuring inventory is restocked ahead of demand, negotiating costs, and preventing operational issues before they become problems.


You will also manage the technical operational infrastructure of the business. This includes Shopify backend systems, integrations between software platforms, APIs, ecommerce tools, and automation systems that support both operations and marketing. You must be highly comfortable working across software platforms and implementing systems that improve efficiency. A key part of this role is building operational structure that does not currently exist. You will be responsible for creating timelines, SOPs, documentation, automation workflows, and operational systems that allow the company to scale while saving the team time and reducing company costs.
You should be someone who constantly looks for ways to save time, cut unnecessary costs, improve workflows, and build systems that make the business run faster and more efficiently. This role requires a person who brings energy, ownership, and solutions. Someone who is always learning, improving themselves, and finding smarter ways to solve problems.


The goal of this role is simple. Save the company money and save the team time. Time is money. Your job is to make sure the company runs faster, smarter, and more efficiently every day.


Core Responsibilities

Vendor Operations, Global Supply Chain, and Logistics (primary responsibility)
Managing relationships with Chinese suppliers, factories, and production partners, while sourcing and onboarding new suppliers.
Negotiating pricing, terms, refunds, and cost reductions with suppliers and vendors, researching & creating contracts based on country origin.
Owning the global supply chain from production through fulfillment
Forecasting inventory needs and managing production timelines to ensure inventory arrives ahead of demand while avoiding both stockouts and overstock
Overseeing supplier shipments and fulfillment center logistics to ensure accurate, fast, and efficient order flow
Proactively & ahead, overseeing rigorous quality control across suppliers products and fulfillment partners
Proactively identifying operational risks and implementing contingency plans, buffers, and preventative systems to avoid supply chain disruptions
Identifying cost reduction opportunities across vendors, logistics partners, and operational expenses
Auditing fulfillment center invoices, shipping charges, and logistics costs to ensure pricing accuracy and prevent overbilling


Technical Operations, Shopify Infrastructure, and Integrations

Managing Shopify backend systems and operational configurations
Connecting Shopify with apps and operational tools through APIs and integrations
Ensuring ecommerce systems such as TikTok Shop, fulfillment software, and marketing tools integrate correctly
Implementing automation workflows using platforms such as Zapier and AI based tools
Troubleshooting issues across ecommerce systems, integrations, and operational platforms
Building automations, integrations, and technical systems that reduce manual work and save the team time
Using AI tools and automation platforms to streamline workflows and operational processes across the company
Supporting website updates, product page adjustments, landing page changes, and operational improvements within Shopify
Monitoring user behavior tools such as Hotjar and implementing website improvements based on insights
Coordinating with freelance developers when more advanced development work is required


You must be comfortable working across software platforms and implementing technical systems that improve operational efficiency.


Operational Analytics, Cost Reduction, and Financial Awareness
Monitoring operational expenses and identifying opportunities/inefficiencies to reduce costs
Reviewing vendor invoices and preventing unnecessary charges or fees
Auditing company software subscriptions and operational tools to eliminate unnecessary spend and staying on top monthly costs.
Building operational dashboards and reporting to track performance and operational metrics
Preparing and maintaining the company’s monthly Profit and Loss reporting
Analyzing company spending and identifying ways to reduce operational costs and improve profitability
Supporting marketing and operational teams with data analysis as needed


Systems, SOPs, and Operational Documentation
You will build operational systems that allow the company to scale.
Creating SOPs and operational playbooks across departments, working with project manager/HR.
Building structured timelines and workflows for supply chain and vendor operations
Documenting processes so operational tasks can be delegated and repeated consistently
Designing systems that allow new tea ---------- mbers to quickly understand and execute operational processes or layman.
Continuously improving workflows and operational efficiency through better systems and documentation


Many of these systems do not currently exist. A major part of this role is building them from the ground up.


Cross Team Operations and Execution
Overseeing customer service operational quality and identifying recurring issues
Ensuring customers receive fast, high quality support across all channels, including maintaining quick response times for calls, emails, and messages
Turning customer problems into long term operational improvements and better systems
Translating customer feedback into operational improvements with suppliers, logistics partners, and internal processes
Helping establish KPIs and operational accountability systems across teams
Supporting hiring and interviewing as needed
Helping develop role scorecards, KPIs, and evaluation frameworks
Supporting ad hoc operational initiatives when the company needs additional execution support


The goal is to turn operational problems into solutions and systems that strengthen the business over time. Small team environments require flexibility and ownership. You must be comfortable operating across multiple functions when the business needs it.
