E-Commerce Finance & Operations VA (QuickBooks | Shopify | eBay)

Part-Time | 5-10 hrs/week | Long-Term | Remote Pay: $3–5/hour depending on experience

About Us

We are a US-based multi-business operator running 5 active businesses across e-commerce, distribution, and short-term rentals. Our portfolio includes Shopify and TikTok Shop stores, an eBay store, a distribution company, and an Airbnb rental operation. We are growing fast and need a reliable, detail-oriented Finance & Operations VA to help us maintain clear financial visibility across all businesses.

This is a long-term role with room to grow as we expand.

What You'll Do:

- Update weekly cash flow and distribution trackers across all 5 businesses (Google Sheets)
- Pull revenue reports from Shopify, TikTok Shop, and eBay on a weekly basis
- Manage QuickBooks Online for our eBay store (AF Commerce) — categorize transactions, reconcile monthly (light volume, straightforward work)
- Cross-reference QuickBooks reports with our internal trackers and flag any discrepancies
- Track vendor payments, receivables, and credit card balances
- Calculate available owner distributions weekly based on profitability
- Send a clean, organized Friday summary report to the business owners every week without being asked
- Flag anything unusual — unexpected expenses, revenue dips, overdue receivables, or anything that looks off

What We're Looking For:

- QuickBooks Online — required. You must be able to demonstrate real hands-on experience. We will ask.
- Google Sheets / Excel — strong skills, comfortable building and maintaining trackers
E-commerce background — Shopify, TikTok Shop, or eBay experience strongly preferred
- Bookkeeping or accounting background — minimum 2 years
- Available during US Eastern Time hours — at least a few hours
- Proactive communicator — you send updates before we have to ask
- Trustworthy and discreet — you will have read-only access to financial platforms across multiple businesses

- Make any financial decisions
- Initiate any payments or transfers
