Job Description: Documentation Specialist – Welding Certification Testing

We are seeking a Documentation Specialist to join our team and play a vital role in preparing, reviewing, and managing documentation required for our welding certification testing process.
Job Overview As a Documentation Specialist, you will be responsible for the preparation, organization, and quality assurance of all documents related to welding certification testing. This role requires a detail-oriented and organized individual who can ensure the accuracy and compliance of all documentation while maintaining seamless coordination with clients and internal teams.
Key Responsibilities
1.
Document Preparation and Creation
o
Prepare and complete documents such as Welding Procedure Qualification Records (WPQR), Visual Testing Reports (VTR), and Certified Welder Applications (CWA).
o
Draft and finalize certificates of completion for clients after successful testing.
o
Use pre-defined templates to streamline the creation of documents while maintaining high standards of accuracy.
2.
Quality Assurance and Review
o
Proofread all documents to ensure they meet company standards and regulatory compliance.
o
Conduct a thorough review of completed forms to identify and correct errors or inconsistencies.
3.
Organization and Management
o
Maintain organized records for all testing sessions, ensuring documents are easily retrievable.
o
Create and manage a digital filing system to track document status and updates.
4.
Collaboration and Communication
o
Coordinate with clients, instructors, and tea
o
Follow up with clients to obtain missing forms, signatures, or additional documentation before testing dates.
5.
Reporting and Metrics
o
Prepare reports detailing document preparation metrics, error rates, and status updates.
o
Provide regular updates to management on documentation workflows and completion rates.
Key Performance Indicators (KPIs)
•
Accuracy Rate: Maintain a 98?curacy rate in document preparation and review.
•
Timeliness: Complete 100% of required documents at least 2 business days before scheduled testing dates.
•
Task Completion: Achieve a 95% task closure rate for document follow-ups and revisions.
•
Record Organization: Ensure all records are properly organized with zero missing or misplaced documents during audits.
Skills and Qualifications
•
Attention to Detail: Strong ability to identify errors and ensure precision in all documentation.
•
Organizational Skills: Ability to manage and prioritize multiple document-related tasks efficiently.
•
Technical Proficiency: Familiarity with Microsoft Office Suite, Adobe Acrobat, and document management software.
•
Communication Skills: Clear and professional written and verbal communication for client and team interactions.
•
Knowledge of Welding Standards: Basic understanding of welding certifications and standards (AWS, NAVSEA) is preferred but not required.
Preferred Qualifications
•
Experience in administrative roles requiring document preparation and review.
•
Previous exposure to welding industry documentation or certification processes.
•
Familiarity with document tracking tools such as ClickUp or similar project management software.
