Hey there,
We’re looking for an experienced Dispute & Chargeback Manager / Customer Support VA to join our eCommerce business long-term.
This is an important role because you will be responsible for protecting revenue, making sure disputes are handled correctly and on time, and communicating professionally with customers.
We are specifically looking for someone who has real hands-on experience with disputes and chargebacks. We are not looking for someone who has only worked in general customer support or has basic knowledge from watching tutorials.
Because dispute volume changes from week to week, you will also handle regular customer support 6 days per week when there are fewer disputes.
Your responsibilities
You will be responsible for:
- Monitoring disputes and chargebacks and making sure no deadline is ever missed
- Collecting all relevant dispute evidence
- Preparing and submitting strong, organized dispute responses
- Fighting chargebacks through platforms such as Shopify Payments, PayPal, and Stripe for the following payment methods: paypal, creditcard and Klarna
- Communicating with customers professionally and trying to resolve disputes before they escalate
- Persuading customers to voluntarily close disputes when appropriate
- Keeping our dispute tracking sheet completely up to date
- Handling normal customer-support tickets when dispute workload is lower
- Following our customer-support and refund SOPs carefully
- Knowing when to solve a case yourself and when something should be escalated
What we are looking for
You should:
- Have previous hands-on eCommerce dispute/chargeback experience
- Understand different dispute reasons such as item not received, fraudulent transaction, product not as described, refund/cancellation disputes, etc.
- Have experience with Shopify Payments/Stripe and PayPal
- Be highly organized and good at managing deadlines
- Have excellent attention to detail
- Write clear and professional English
- Be comfortable dealing with angry or difficult customers
- Be able to follow detailed SOPs without constantly needing reminders
- Be available for customer support 6 days per week
- Take responsibility for mistakes instead of hiding them
- Be able to work independently and think logically
Important

We will ask detailed questions about your previous dispute-management experience, and shortlisted applicants will receive a practical test involving realistic dispute and customer-support cases.
We care much more about what you can actually do than how good your application sounds.

We are looking for someone who can become a reliable long-term member of the company, take ownership of this department and eventually require very little supervision.
