DIRECTOR OF BUSINESS OPERATIONS AND SYSTEMS

Position Summary
High Meadows Resorts is developing a luxury destination property in Ellicottville, New York, with 17 rental villas, a full-service restaurant, and an event center serving banquet, corporate gatherings, wellness retreats, celebrations, and group stays.
We are seeking a senior hospitality operator to build the commercial and operating foundation before opening and strengthen it as the business grows. This person will own business development, financial models, operating systems, software integration, workforce planning, and team adherence to agreed processes. The role works directly with the owner and must be comfortable testing assumptions, identifying risk, and recommending better options with clear financial and operational reasoning.
Key Responsibilities
Business Development and Commercial Planning
•Build and maintain pro formas for the restaurant, villas, event center, and related revenue opportunities. Models should cover demand, pricing, occupancy, average daily rate, food and labor costs, fixed costs, cash flow, and break-even scenarios.
•Develop budgets, forecasts, pricing recommendations, and management dashboards with clear assumptions and measurable targets.
•Create partnership, referral, group sales, and event pipelines with defined stages, owners, follow-up standards, conversion measures, and booked revenue reporting.
Operating Systems and Guest Journey
•Map and improve the full guest journey from inquiry and booking through pre-arrival, check-in, stay, issue recovery, check-out, and post-stay follow-up.
•Create SOPs, checklists, handoffs, approval limits, quality controls, and escalation paths for reservations, housekeeping, maintenance, dining, events, and guest services.
•Establish system governance through assigned owners, version control, training records, compliance reviews, exception reporting, and regular improvement cycles.
Technology and Software Integration
•Define requirements and lead vendor evaluation for the website, booking engine, property management system, channel manager, CRM, point-of-sale, payments, accounting, guest messaging, housekeeping, workforce scheduling, and analytics tools.
•Design the integration map for data flow, permissions, ownership, reporting, handoffs, and failure contingencies.
•Coordinate configuration, testing, training, staff acceptance, and launch readiness with internal owners and external vendors.
Workforce Planning and Operating Discipline
•Develop the organization structure, role definitions, manpower plan, housekeeping turnover model, shift schedules, coverage rules, and labor forecasts.
•Track pre-opening dependencies, decisions, risks, and deadlines across lodging, dining, events, facilities, finance, and marketing.
•Coach managers on how each system should be used, verify adherence through operating reviews, and challenge leadership respectfully when evidence or unit economics do not support a proposed approach.
Required Qualifications
•More than 5 years of progressive experience in business development, operations, systems, and protocols.
•Demonstrated financial fluency in pro formas, P&L management, budgeting, forecasting, pricing, labor modeling, and performance reporting.
•Proven experience building SOPs, controls, workflows, and accountability systems and achieving sustained team adoption.
•Experience in business software. Programming is not required, but the candidate must understand requirements, data, testing, implementation, and vendor management.
•Strong written and spoken English, executive-level communication, and the ability to work independently while maintaining reliable overlap with U.S. Eastern Time.
Paid Trial and Hiring Process
Shortlisted finalists will be invited to a paid trial lasting one to two weeks under a written scope before either party makes a long-term commitment. The assignment may include a focused restaurant pro forma, guest check-in workflow, software integration map, KPI dashboard, or short operating plan using information supplied by the company.
Evaluation will focus on commercial reasoning, systems design, prioritization, constructive challenge, execution quality, communication, and working fit.
