JOB OVERVIEW

I’m looking for a proactive Virtual Assistant to help me expand my reach through podcast content and scheduling, social media, Pinterest, and securing speaking/workshop opportunities. There are two main jobs. The first is to take my existing content (especially my podcast episodes) and turn it into consistent, scheduled marketing that drives visibility, engagement, and bookings. The second is to update speaking platforms with my content to drive inquiries coming in.

This role is ideal for someone who’s organized, detail-oriented, and comfortable juggling multiple marketing activities, while keeping everything moving forward without needing constant direction.

Key Responsibilities
1) Podcast: Social Media Repurposing + Scheduling
Turn each podcast episode into platform-ready content:
- Short captions and posts (LinkedIn, Facebook, Instagram, and Pinterest)
- Quote posts, “key takeaway” posts, carousel concepts (if you can design, great; if not, we’ll use templates)
- Short-form video clip ideas (optional, depending on skill set)
- Write posts in my brand voice (I’ll provide examples and guidelines)
- Schedule posts in Go High Level (and/or Meta Business Suite if needed)
- Create a LinkedIn newsletter to align with each episode
- Create a bog post for my website for each episode
- Maintain a simple content calendar so we’re always ahead
Technology: Canva, GoHighLevel, Podbean, LinkedIn, Wordpress

2) Speaking Platforms + Event Submissions
- Create and/or optimize my profiles across speaking platforms (examples: speaker directories, booking sites, bureaus—specific list provided and will ask to research for more)
- Upload consistent assets (bio, headshots, topics, descriptions, video links, testimonials)
- Keep data fresh
- Research speaking opportunities at Conferences, leadership events, women’s leadership events, corporate events, HR/SHRM events, chamber events, etc.
- Track opportunities and submissions in a simple pipeline tracker: Event name, deadline, requirements, status, next steps, contact info
- Submit proposals/applications using my approved content and templates
- Create supporting document for speaking engagements (event details packet, schedule meetings, etc.)
Technology: GoHighLevel, Excel, Wordpress, AI, Online

3) Email Marketing Support (Proactive Campaign Management)
- Help design, create and manage an email campaign in Go High Level: Organize lists/tags
- Build and schedule email sequences (templates provided)
- Copy suggestions, creating, editing + formatting
- Track basic performance metrics (open rate, click rate) and report weekly
- Keep emails aligned with launches, speaking promotion, and podcast content
Technology: GoHighLevel, Canva, AI

4) Ongoing Marketing & Admin Support (Flexible)
This role includes additional tasks as needed. Examples may include:
- Updating website content (light edits)
- Organizing marketing assets and files
- Repurposing older content into new formats
- Research tasks, outreach, simple project coordination

Tools You’ll Use:
- Go High Level (required)
- Google Drive / Google Docs
- Canva (strongly preferred)
- Pinterest
- Wordpress
- AI
- Online
Optional bonus tools: Buffer/Later, Meta Business Suite, Descript/CapCut, Airtable/Trello/Asana

Requirements:
- Proven experience repurposing content and scheduling social media posts
- Comfortable working with listed technology
- Strong English writing skills (clear, polished, audience-friendly)
- Organized, reliable, and deadline-driven
- Ability to follow systems and templates and also spot what’s missing and suggest improvements
- Canva design skills (templates, carousels, quote graphics)
- Basic video editing for reels/shorts (captions, trimming)
- Experience with speaking platforms, conference research, and submissions
- SEO / Pinterest keyword knowledge

What Success Looks Like (Performance Expectations):
- Weekly podcast episodes turned into scheduled posts consistently
- Pinterest boards built + pins created from both new and past content
- Speaking profiles completed and kept current
- A steady flow of speaking opportunities researched, tracked, and submitted
- Email campaigns scheduled and improving month over month

Hours, Schedule, and Pay:
