BOSS Digital is the group's web design and brand strategy division - building websites, brand identities, and digital presence for clients across fashion, hospitality, wellness, retail, and beyond. As the division grows, so does this role.
About the Role
The Digital Coordinator is the right-hand to the Director of Digital, supporting client outreach, social media management, and design coordination across BOSS Digital's project pipeline. This is a hybrid role spanning front-line client relations, content/channel management, and creative coordination with the design team - built for someone who can move fluidly between admin precision, brand-voice content work, and creative collaboration.
This role sits at the intersection of client relations, social media, and design operations. It requires someone highly organised, proactive, comfortable across multiple workstreams at once, and confident enough to collaborate directly with the Director of Digital on creative and strategic decisions.
Key Responsibilities
Client Outreach & Relationship Management
- Initiate first-contact outreach to prospective brands and businesses across industries (fashion, hospitality, wellness, retail, F&B, etc.) seeking web design, brand strategy, or digital presence work
- Respond promptly to inbound enquiries, qualify prospects, and manage multi-touch follow-up sequences
- Escalate warm or complex conversations to the Director of Digital with a clean summary and full thread visibility
- Send onboarding/briefing forms to interested prospects and follow up until completed
Social Media Management
- Assist in managing BOSS Digital's social media channels - scheduling, posting, and light content coordination in line with brand voice
- Monitor engagement, comments, and DMs, flagging anything that needs the Director of Digital's attention
- Help maintain a consistent content calendar and ensure posts are on-brand, on-time, and error-free
- Support with light copywriting/caption drafting using BOSS Digital's established tone (curated, fashion-forward, elevated)
Design & Creative Collaboration
- Act as the coordination point between clients and BOSS Digital's design team - relaying briefs, feedback, and revisions clearly and on time
- Track project status across active design engagements and flag delays or blockers
- Help prepare client-facing materials (decks, proposals, mockup packages) alongside designers
- Ensure client feedback loops are closed promptly and design timelines stay on track
CRM Maintenance
- Attend regular CRM check-in calls with the Director of Digital
- Update contact and deal records accurately after each conversation
- Flag discrepancies, missing data, or pipeline issues in check-in calls
Collaboration with the Director of Digital
- Work closely and directly with the Director of Digital on client strategy, content direction, and project prioritisation
- Bring proactive ideas and flag opportunities rather than waiting to be told what's next

- Coordinate handoffs to designers or other tea
- Attend fortnightly all-tea
Communication Standards
- Represent BOSS Digital in a professional, warm, and on-brand tone in all client-facing communications
- Handle rejections, budget mismatches, and brand pass communications with tact and grace
- Use standard templates and messaging frameworks, adapting as needed based on context
What We're Looking For
- Strong written English with a natural, professional tone
- Comfortable managing social media channels and understanding brand voice/content cadence
- Some familiarity with design workflows (Figma) and giving/relaying feedback (does not need to design themselves)
- Close attention to detail, especially in CRM hygiene and
- Ability to manage a high volume of conversations and projects without dropping threads
- Proactive follow-through: you close loops, you don't leave things open
- Familiarity with HubSpot or similar CRM tools is a plus
- Understanding of the web design, branding, or digital marketing landscape is a strong advantage
- Available for regular video check-ins with the Director of Digital (timezone flexibility required)
What This Role Is Not
This is not a hands-on design or development role. The Digital Coordinator manages relationships, content, and coordination; actual design and build work is executed by the design team.
