We are hiring a highly detail-oriented, dependable Accountant to manage the daily books for two companies:
Residential cleaning company — QuickBooks Online
Airbnb and real estate business — Wave Accounting
This is a hands-on team role, not a flexible “work whenever” bookkeeping position. You must work a consistent daily shift, communicate proactively in Slack, and be available to support teammates with accounting-related questions or requests during your scheduled hours.
Books must remain clean and current every day—not caught up at month-end.
Responsibilities
Daily
Match and accurately categorize all transactions
Keep both companies’ books fully up to date with no backlog
Process refunds and record deposits
Review for missing, duplicate, or incorrectly categorized transactions
Set up and maintain appropriate rules and automations
Submit a clear daily end-of-shift update in Slack
Respond to Slack messages and support teammates with bookkeeping, payroll, billing, refund, deposit, or reporting questions during your scheduled shift
Weekly
Review employee timesheets for payroll accuracy before processing payroll, including missed punches, incorrect hours, approved time off, and discrepancies needing clarification
Process payroll in Gusto by Monday each week — no exceptions
Ensure weekly payroll and financial reports are accurate
Flag discrepancies, missing information, or concerns promptly in Slack
Monthly
Reconcile all 8 accounts
Complete all reconciliations by the 15th of each month — no exceptions
Maintain accurate, organized, audit-ready books at all times
Requirements — Non-Negotiable
Strong working experience with QuickBooks Online, Wave Accounting, and Gusto Payroll
Exceptional attention to detail and accuracy
Experience creating and maintaining bookkeeping rules and automations
Ability to work independently while also being an engaged, responsive part of a team
Clear written English and professional Slack communication
Ability to consistently meet deadlines without reminders or last-minute catch-up work
Required Schedule
Monday–Friday: 2:00–5:00 PM Pacific Time
One day per week: 12:00–3:00 PM Pacific Time for the company meeting
You must be actively working and available in Slack throughout these scheduled hours. This includes responding to teammates, answering questions, and communicating promptly if information is needed to complete a task.
Important
This is a structured, deadline-driven role. Work must be completed within the assigned shift, with no backlog or catch-up work outside of the normal process.
Performance is measured by accuracy, timeliness, consistency, communication, and reliability—not simply hours worked.
If you prefer a flexible, independent, or unstructured work environment, this position will not be a good fit.
