About the Role
We are seeking an experienced and exceptionally capable Executive Assistant to support the Founder & CEO of two mission-driven organizations: Wizearly, an AI-powered edtech startup focused on solving chronic absenteeism, and Oakland Natives Give Back (ONGB), a nonprofit advancing educational success.
This role requires a seasoned professional who is not only highly organized, loyal, and discreet, but also fluent in the digital tools and technologies that power modern work. The right candidate will be proactive, anticipate needs, and operate as a trusted partner to the CEO, managing information, optimizing systems, and ensuring the seamless coordination of priorities across both organizations.
Key Responsibilities
Executive & Administrative Support
Manage a fast-moving calendar and schedule meetings across multiple organizations and time zones.
Anticipate the CEO’s needs and prepare all necessary materials for meetings, travel, and decision-making.
Draft, proof, and send professional correspondence and communications.
Prepare executive briefings, follow-up summaries, and reports.
Handle travel logistics, itineraries, and expense tracking with precision.
Maintain confidentiality and sound judgment in all interactions.
Operations & Project Management
Create and manage systems to track priorities, projects, contacts, and deliverables in Notion, Airtable, and ClickUp or similar tools.
Streamline workflows using Zapier, Make (Integromat), or other automation platforms.
Manage internal communications, team coordination, and key project milestones.
Ensure projects are executed on time with detailed follow-up and accountability.
Technology & AI Expertise
Advanced user of ChatGPT, Notion AI, and other AI productivity tools for drafting, summarizing, planning, and automating workflows.
Skilled in creating templates, dashboards, and automations to optimize efficiency.
Confident working across integrated tech stacks, Google Workspace, Slack, Zoom, CRM systems, and cloud-based collaboration tools—without supervision.
Social Media & Communications Support
Manage and schedule professional social content across LinkedIn, Instagram, and X.
Repurpose written or recorded content into polished, platform-ready posts.
Coordinate with designers or editors when needed and ensure brand alignment.
Track engagement data and prepare light analytics reports.
Research & Reporting
Conduct structured research on potential investors, partners, technology platforms, and education-related trends.
Prepare high-quality, concise executive summaries and briefing documents.
Support the creation of grant, investor, and strategic presentation materials.
Required Skills & Experience
4+ years of experience as an Executive Assistant, Chief of Staff, or Operations Manager supporting a Founder or C-suite executive.
Advanced proficiency in all of the following tools (no training provided):
Google Workspace (Docs, Sheets, Calendar, Drive)
Notion & Airtable
ChatGPT and/or other AI productivity tools
Project management tools (ClickUp, Asana, or
Automation platforms (Zapier, Make, or similar)
Slack, Zoom, and Canva
Exceptional writing and communication skills; able to draft professional
Expert multitasker with extraordinary attention to detail and accuracy.
Self-starter who thrives in fast-paced, mission-driven environments and can manage competing priorities gracefully.
High integrity, professionalism, and emotional intelligence.
Preferred
Prior experience in a startup or nonprofit environment.
Familiarity with education, edtech, or philanthropic sectors.
Light design or content creation experience (Canva, short video editing).
Compensation & Growth
Competitive compensation commensurate with experience. The role begins part-time and may transition to full-time quickly based on performance and organizational needs. Long-term growth opportunities exist within both organizations.
