WHO I AM

Hello, brilliant soul!

I'm Kama, RN and Nurse Coach, founder of Synergy Rising LLC and host of the Dancing With Dementia™ & Caregivers Rising™ Podcast. I've spent over 20 years in healthcare, and years now caregiving for my mom. My work centers on empowering young, young-at-heart, and atypical caregivers through coaching, holistic tools, and real talk.

We are in a BIG launch season... a new website, our signature membership, and a growing podcast... and I need a steady, meticulous person to take one very important piece off my plate so I can keep building.

WHAT THIS WORK ACTUALLY IS

Here is the honest heart of it, so you know exactly what you'd be stepping into...

This is supplemental insurance claim submission and reimbursement tracking for a family navigating a long health journey while caring for a sick loved one. Years of records, real benefits that were paid for and never claimed, and money that belongs back in the hands of the family caring for someone they love.

Doing this work well does TWO beautiful things at once... it helps a caregiving family recover what is rightfully theirs, AND it directly funds a service-based company launching resources for caregivers everywhere.

Because this involves private medical information, this role requires a signed NDA and a signed agreement to follow HIPAA guidelines. That is a HARD gate ~ nothing begins until that is complete. Full details are shared after signing, not before.

The role in one line: read medical records carefully, identify every claimable benefit, build and maintain a clean claims tracker, prepare and submit claim forms, and track every submission through to payment.

A note on the team: this is a TEAM. You'll work with me directly, and alongside my EA and the rest of our crew, so clear communication and collaboration are part of the magic.

WHAT YOU'LL DO

FIND the money. Read through years of medical records and spot every visit, procedure, radiology exam, lab, and service that is claimable... then cross-reference each one against what the policy ACTUALLY covers, and how many times per year it can be used.

TRACK it beautifully. Keep our Google Sheets tracker current and self-calculating... policy coverage on one tab, the claims log on the other. Formulas do the counting, never you.

BUILD the claim. One clean supporting-documentation PDF per claim, a completed claim form with every single field filled, and file names matched to our exact standard format... no improvising, no "close enough."

SEND it and log it. Fax each claim as it is finished, one at a time, never saved up in a batch... then log the submission, the payment, and the amount, so we ALWAYS know what is still owed.

FLAG what looks off. A number that does not match, a benefit you are unsure about, a date that does not line up. Flagging beats guessing, ALWAYS.

THE ACCURACY THING (please read closely)

A wrong number here quietly becomes a wrong claim. A mislabeled benefit quietly becomes a denial. A sloppy file name quietly becomes an hour of somebody's life spent looking for a document.

So I need someone who slows down where it counts, double-checks their own work before it reaches me, and treats "I verified it against the source document" as the standard, not the exception.

We start with ONE complete claim, start to finish, reviewed together... so if anything is off, we catch it after ONE claim instead of after forty!

WHO YOU ARE

~ EXCELLENT digital organization... this is a MUST-have, not a nice-to-have. Folder structures, file naming conventions, version control, and a system you can hand to someone else and have them understand it instantly

~ Comfortable reading medical documentation... visit notes, itemized bills, EOBs, procedure and diagnosis language

~ Confident in Google Sheets... formulas, filters, and building something that stays accurate on its own

~ Meticulous with numbers, dates, and matching wording EXACTLY

~ Discreet and trustworthy with private information, always

~ Willing to sign an NDA and follow HIPAA guidelines

~ Organized, proactive, and resourceful... you find answers and ask great questions

~ Warm, reliable, and genuinely kind (this is a heart-forward brand and team)

~ Strong English skills for clear written communication

~ A consistent, reliable internet connection

~ Excellent with follow-through and feedback

~ Able to provide references

BONUS GLOW (nice, not required)

~ Direct experience with insurance billing, medical billing, or medical bookkeeping

~ Familiarity with supplemental / voluntary benefit policies (AFLAC-type a ---------- , hospital, wellness, and disability benefits)

~ Experience working with EOBs, claim forms, denials, appeals, or timely-filing rules

~ Medical coding exposure (CPT, ICD-10, HCPCS)

~ Experience with PDF tools, merging, redaction, and online fax services

~ Caregiving lived experience or a heart for this mission

THE LOGISTICS

1. A short intro about you and your experience... especially with insurance billing, medical billing, medical bookkeeping, medical records, or claims work of any kind.

2. In plain language, as if you were explaining it to a patient: what is the difference between an EOB and an itemized bill? Which one tells you what was actually PAID?

3. What do CPT and ICD-10 codes each describe, and why does it matter that they match up on a claim?

4. A claim comes back DENIED. Walk me through the first four things you would check, in order.

5. Here is a scenario... the policy document says a benefit pays $200 and can be used twice per year. Your tracker shows it was already submitted twice this year, but only paid once. What do you do next, and what do you tell me?

6. Show me your DIGITAL ORGANIZATION. How do you name files, structure folders, and keep track of a large multi-year project so nothing gets lost? Screenshots or examples are very welcome!

7. What is your experience level in Google Sheets? Tell me about a tracker or system you have built.

8. How do you handle private and confidential information? Have you signed an NDA or worked under HIPAA guidelines before? Are you comfortable doing both here?

9. Have you ever submitted claims by FAX or used an online fax service? Which one?

10. You are unsure whether a service qualifies under a policy. What do you do... and how do you communicate that to me?

11. How do you like to receive and act on feedback? Tell me about a time you took a note and made something even better.

12. WHY does this work matter to YOU? What draws you to a mission built around caregivers?
