Overview:
VIP DME & VIP NEMT is a rapidly growing healthcare services company based in California, serving patients across the Central Valley. We specialize in durable medical equipment (DME) and non-emergency medical transportation.
We are seeking a highly organized, detail-oriented Virtual Assistant based in the Philippines to manage patient intake, order processing, and insurance verification. This role is critical to ensuring patients receive timely care and that all documentation is accurate and compliant.
Key Responsibilities:
Patient Intake & Data Entry
Collect and enter patient demographics into our system (Brightree or similar)
Verify completeness of intake documentation:
Full name, DOB, address, phone
Height, weight, gender
Insurance information (primary & secondary)
Physician information
Ensure all required forms are completed prior to processing orders
Order Processing (DME & NEMT)
Review incoming orders for accuracy and completeness
Input and manage orders for:
Hospital beds, wheelchairs, walkers, commodes, etc.
Flag missing documentation and follow up with providers
Insurance Verification
Verify eligibility and benefits (Medicare, Medi-Cal, Medicare Advantage plans)
Confirm:
Active coverage
DME benefits
Authorization requirements
Document verification results clearly in system notes
Prior Authorization Support
Prepare and organize documentation for prior authorization submissions
Ensure all required clinical notes, ICD-10 codes, and prescriptions are included
Track authorization status and follow up as needed
Communication & Follow-Up
Call doctor’s offices, hospitals, and patients to obtain missing information
Maintain professional and clear communication at all times
Escalate urgent patient needs quickly
Compliance & Accuracy
Ensure all work meets Medicare/Medi-Cal and insurance compliance standards
Avoid errors that could lead to claim denials or audit risk
Maintain HIPAA compliance at all times
Requirements:
Previous experience in:
Medical Virtual Assistant / Healthcare BPO (REQUIRED)
DME, medical billing, or intake experience (HIGHLY PREFERRED)
Strong understanding of:
Insurance verification
Prior authorizations
Medical terminology (ICD-10 familiarity preferred)
Excellent English communication (spoken & written)
High attention to detail (this is critical)
Ability to multitask and manage high volume
Reliable internet connection and quiet workspace
Preferred Experience (Bonus):
Experience with Brightree, Office Ally, Noridian, Availity or similar systems
Experience with:
Medicare / Medi-Cal
DME billing workflows
NEMT scheduling
Prior U.S. healthcare account experience
Working Hours:
Must be available during U.S. Pacific Time (California hours)
Flexible scheduling available based on performance
