We are a professional, growing two-location dental organization in Toronto, Canada. We are hiring a reliable, organized, phone-confident Remote Dental Insurance & Treatment Follow-Up Coordinator.
About the Role
This is a specialized long-term remote role for someone who follows systems carefully, documents accurately, communicates professionally in English, and enjoys helping patients move forward with recommended dental care.
Work Schedule (30 hours/week • EST Timezone)
• Monday to Friday: 9:00AM – 3:00PM EST, Toronto
*You must be consistently available during these exact hours.
Pay rate
• $4 - $7 CAD per hour (Initial 60-day pilot, with long-term opportunity for the right candidate)

Key Responsibilities
• Track and follow up on outstanding dental insurance predeterminations for two Canadian dental practices.
• Call Canadian insurance carriers to obtain status updates, identify missing requirements, and document all outcomes accurately.
• Maintain a centralized tracker so every case has a clear status, next action, due date, and owner.
• Follow up with patients who have outstanding recommended treatment.
• Use approved scripts to address straightforward administrative questions, discuss already-approved financial estimates, handle common non-clinical hesitations, and help patients book the appropriate next appointment.
• Make multiple follow-up attempts when appropriate and document every call, voi
• Support cases involving implants, implant restorations, crowns, bridges, periodontal therapy and scaling-unit eligibility, restorative treatment, orthodontic/aligner cases, dentures, surgery, and other proposed care.
• Escalate clinical, treatment, coding, documentation, and complex financial questions to the appropriate office team member.
• Send a concise daily activity report to the remote-assistant manager.

• Secure Alexio-managed virtual machine
Training will be provided for our workflows, scripts, documentation standards, and escalation process.
Qualifications
• Excellent spoken and written English, with a warm, clear, professional phone manner.
• Strong organization, attention to detail, documentation, and follow-through
• Comfortable making outbound calls and remaining on hold with insurance carriers when needed.
• A quiet, private, professional work environment
• Reliable high-speed internet, a backup internet or power plan, and a professional headset
• Comfortable using a virtual machine, VoIP system, practice-management software, trackers, and structured scripts.
• Dental administration, dental insurance, medical insurance, healthcare administration, treatment coordination, recall/re-care, collections, patient outreach, or call-center experience is strongly preferred.
• Canadian dental insurance or predetermination experience is an advantage, but not required for a strong, trainable candidate.
• A high level of confidentiality, privacy awareness, and respect for patient information.
IMPORTANT: This is an administrative and patient-coordination role. You will NOT provide clinical advice, diagnose, recommend or change treatment, promise insurance payment, change fees, or make financial exceptions.
