JOB OVERVIEW

We run a small Brussels/Belgium-based luxury brand that produces leather watch straps and accessories for watch collectors worldwide. Our products are made in France and we sell globally through our Shopify store. We are looking for a reliable, detail-oriented full-time tea ---------- mber to help run the day-to-day operations of the business.

This is a multi-role position. You will be the operational backbone of the brand, handling customer service, social media, e-commerce operations, email marketing, and general administrative tasks. You will work closely with the founder and report directly to him.


WHO WE ARE LOOKING FOR

Someone who has real experience with Shopify, Klaviyo, Instagra ---------- ta Business Suite, and ideally Odoo ERP. Someone who takes pride in writing well and communicating clearly in English. Someone who is organised, proactive, and comfortable managing multiple responsibilities without constant supervision. An appreciation for quality products and a willingness to learn about the world of luxury goods and watch collecting is a strong plus.


WHAT YOU WILL DO

Customer Service and Communication
- Respond to customer enquiries via email and social media (pre-sale questions, order status, sizing guidance, returns)
- Maintain a warm, professional, and brand-appropriate tone in all communications
- Escalate complex issues to the founder when needed
- Follow up on open tickets and ensure every customer feels valued

Social Media Management
- Schedule and publish content on Instagram
- Draft captions that match the brand's editorial, refined voice (training and guidelines provided)
- Monitor comments, DMs, and engagement and respond promptly
- Track basic performance metrics such as reach, engagement, and follower growth

Shopify and E-Commerce Operations
- Manage product listings: upload new products, update descriptions, adjust pricing and inventory
- Process and monitor orders and coordinate with shipping partners
- Handle returns, exchanges, and refunds per company policy
- Monitor stock levels and flag low-inventory items


Email
Marketing (Klaviyo)
- Build and send email campaigns following brand templates and guidelines
- Manage subscriber lists, segments, and flows
- Track open rates, click rates, and revenue attribution
- Suggest improvements based on performance data

Odoo ERP
- Assist with order management, inventory tracking, and basic reporting in Odoo
- Keep records accurate and up to date across systems

General Virtual Assistance
- Calendar management, research, and ad hoc administrative tasks
- Help prepare materials for product launches and seasonal campaigns
- Maintain internal documents and SOPs


REQUIREMENTS

Must-have:
- Minimum 2 years of experience in e-commerce operations or a similar VA role
- Working proficiency with Shopify (backend, order management, product listings)
- Experience with Klaviyo or a similar email marketing platform
- Comfortable with Instagram and Meta Business Suite
- Excellent written English — clear, professional, and grammatically correct
- Reliable internet connection and a quiet workspace
- Available full-time (40 hours/week) with a flexible schedule, as long as deadlines are met and communication is timely

Strong plus:
- Experience with Odoo ERP
- Background working with a luxury, fashion, or lifestyle brand
- Interest in watches, leather goods, or men's accessories
- Basic graphic skills (e.g. Canva) for social media assets
