We're a US-based online coaching business that teaches content creators how to land monthly brand partnerships. We have active students going through a coaching program supported by a small remote team. We're growing fast and need a reliable, organized, warm person to own the client success function.
The Role
You'll be the person our students hear from regularly. You handle onboarding when someone joins, check in with active students, make sure nobody goes quiet or falls behind, and keep everything organized behind the scenes.
You'll also be supporting students who use a cold
This is a client-facing, communication-heavy role. Strong spoken and written English and a warm, professional tone are non-negotiable.
What You'll Be Doing
Client Onboarding
Setting up new clients when they join (Slack channel creation, welcome messages, confirming access to everything)
Confirming all deliverables have been sent and received
Walking new students through their first steps so they know exactly what to do
Helping new students get their Instantly.ai account set up correctly before they launch outreach
Instantly.ai Campaign Support
Guiding students through setting up campaigns and
Confirming campaign settings (sending limits, warmup, sequences) before a student launches
Answering basic Instantly questions via Slack — campaign vs. sequence setup, filtering leads, troubleshooting common issues
Flagging issues that need escalation to the team
Client Check-Ins & Retention
Running regular check-ins with active students to see how they are progressing
Identifying students who are disengaged or at risk of falling behind
Reaching out proactively to re-engage students before they go silent
Flagging at-risk students to the coaching team so we can take action early
Tracking student milestones and making sure people are moving through the program
Admin & Coordination
Keeping client tracking systems updated and organized
Coordinating between the coaching team, fulfillment team, and lead gen team
Managing the team Slack workspace (organizing channels, keeping things tidy)
Handling student questions that don't require coaching expertise (access issues, general questions, billing)
Preparing simple reports on student status, engagement, and retention
Requirements
Must-Haves:
Excellent spoken and written English — you will be messaging and occasionally hopping on calls with students, so communication must be clear, warm, and professional
Hands-on experience with Instantly.ai — you must understand campaigns, sequences,
Experience in customer success, client management, virtual assistance, or a similar client-facing role
Highly organized — you're tracking multiple students at once and nothing can slip through the cracks
Comfortable with Slack, Google Drive, Google Sheets, and Zoom
Proactive — if a student goes quiet, you reach out. If something is falling behind, you flag it. You don't wait to be told.
Reliable — you show up, meet deadlines, and communicate if something comes up
Nice-to-Haves:
Experience working with online coaching programs, course creators, or digital businesses
Familiarity with Whop, Circle, or similar community/membership platforms
Background in the creator economy, social media marketing, or UGC content
Understanding of cold
Schedule & Availability
20 hours per week
Flexible on how you split the days, but you must be available and responsive during US EST business hours for part of your shift
Some tasks can be done on your own schedule, but client communication requires prompt responses during EST hours
Compensation
$5.00 USD per hour
Paid twice monthly — 1st and 16th of each month
Simple timesheet submitted before each payment date
Independent contractor arrangement
