About the Role
We are looking for a Customer Service Representative to serve as a key point of contact for customers, vendors, subcontractors, and other business contacts.
This role is heavily focused on professional phone communication, outbound calling, follow-up, and relationship-building. You will make and receive calls, communicate information clearly, gather the necessary details, and ensure requests and conversations are followed through to completion.
The ideal candidate is confident on the phone, easy to understand, personable, proactive, and comfortable working independently. This person should be able to build rapport quickly without sounding scripted and represent the company professionally in every interaction.
Key Responsibilities
Handle inbound and outbound calls with customers, vendors, subcontractors, and other business contacts
Make outbound calls to subcontractors and business contacts to introduce opportunities and gather information
Clearly explain the purpose of each call and communicate company information in a natural, conversational manner
Build rapport and establish trust quickly, particularly during outbound calls
Collect and accurately document contact information,
Respond to customer, vendor, and subcontractor questions by phone and
Follow up consistently on requests, questions, scheduling, documents, pricing, and other outstanding items
Monitor incoming
Maintain accurate records of calls, conversations, requests, contacts, and follow-ups
Handle routine questions and issues independently and escalate matters when appropriate
Keep the owner informed of important issues, updates, opportunities, and unresolved matters
Develop a strong working knowledge of the company's processes, services, common questions, and day-to-day operations
Use provided scripts, talking points, and processes as guides while keeping conversations natural and personalized
Use Hubstaff to accurately track working hours and maintain required time-tracking and productivity records
Remain available and responsive during scheduled working hours
Perform other customer service and administrative duties as needed
Requirements
Excellent spoken and written English
Clear, easy-to-understand speech and strong verbal communication skills
Confident, professional, and personable phone presence
Comfortable making frequent outbound calls
Strong listening and comprehension skills
Ability to explain information clearly and adjust communication based on the person being contacted
Strong rapport-building and interpersonal skills
Strong organization, follow-up, and attention to detail
Ability to manage multiple conversations, requests, and follow-ups
Proactive, dependable, and able to work independently
Strong problem-solving and judgment skills
Comfortable learning new systems, processes, and industry terminology
Comfortable working remotely and adapting to new tools, workflows, and client processes
Reliable equipment and a professional-quality headset and internet connection
Willingness to use Hubstaff consistently during working hours in accordance with company and client requirements
Strong commitment to the role, schedule, and assigned responsibilities
Preferred Qualifications
Previous customer service, call-handling, or outbound calling experience
Experience communicating with vendors, subcontractors, suppliers, or other business contacts
Experience supporting a U.S.-based company
Experience with phone systems or cloud-based dialers
Experience working with Hubstaff or similar time-tracking/productivity platforms
Construction or contractor industry experience is a plus, but not required
Conversational Spanish is a plus, but not required

The ideal candidate will become a dependable first point of contact for the business, someone who can confidently pick up the phone, have a natural conversation, communicate information clearly, build trust quickly, gather the right information, and consistently follow through.
Success in this role is not about simply reading a script. It's about being understood, sounding confident and professional, making the person on the other end comfortable, and moving the conversation toward the desired outcome.
The right person will be able to take ownership of routine communication so the owner can stay focused on higher-value business activities without having to manage every call, question, or follow-up.
