???? About the Role
We are a fast-growing UK-focused fashion e-commerce brand and we are looking for a reliable, proactive and experienced virtual assistant to join our team immediately.
This role combines customer service and order management, with room to grow as the business grows.
We are not looking for someone who waits for instructions — we want someone who thinks ahead, takes responsibility, and communicates clearly.
????? Main Responsibilities
Customer Service (Primary Task)
Respond to customer
Handle inquiries about orders, delivery, sizing, and returns
Work inside Shopify (orders, customer details, notes)
Communicate clearly in fluent English (written & reading)
Follow brand tone while being human and solution-oriented
Order Management
Check daily if orders are being fulfilled on time
Monitor tracking & delivery status
Perform basic quality checks before or during fulfillment
Flag issues early (delays, stock problems, supplier errors)
Keep Google Sheets / tracking sheets up to date
Supplier Communication (Secondary Role – Different Time Slot)
Reply to supplier messages when:
an item is out of stock
there is a fulfillment delay
clarification is needed
Escalate issues clearly and on time
This is not constant work, but requires availability and responsibility
? Working Hours
Shift 1 – Customer Service & Order Management
Netherlands time: approx. 17:00 – 19:30
Philippines time: approx. 00:00 – 02:30 (midnight)
Around 2 – 2.5 hours per day
Shift 2 – Supplier Communication (Separate Role / Same or Different VA)
Netherlands time: 04:00 – 10:00
Philippines time: 11:00 – 17:00
Actual workload is about 3–4 hours, not constant activity
Paid for real workload, with growth potential
? Requirements (Very Important)
Proven experience in customer service (e-commerce preferred)
Shopify experience is a MUST
Experience with UK fashion e-commerce is a BIG plus
Excellent English writing & comprehension
Comfortable working with Google Sheets
Proactive mindset — you suggest improvements, you don’t wait
Fast, reliable, and detail-oriented
Honest, trustworthy, and able to work independently

Starting rate: $3.50 USD per hour
