JOB OVERVIEW

Are you detail-oriented, process-driven, and comfortable managing multiple tools to onboard creators into a brand's affiliate program?
We're hiring a Creator Onboarding Coordinator to manage the full post-qualification pipeline — from sending contracts to getting creators fully set up and active in our affiliate system.
This is not a creative role. This is an operations role.
You will be managing contracts, setting up affiliate profiles, coordinating product shipments, and confirming Meta Partnership Ads access — all while keeping the CRM pipeline clean and up to date.

What You'll Be Doing

Monitor the Go High Level (GHL) pipeline for creators who reach "Ready to go" status
These creators have already been qualified by our outreach team — your job starts here
Manage contract delivery:

Contracts are auto-sent via GHL/PandaDoc when status changes
You follow up on unsigned contracts (48h reminder, then personal follow-up)
Answer any questions creators have about the contract terms
Confirm contract is signed and move GHL status forward


Set up creators in UpPromote (Shopify affiliate app):

Add creator to the affiliate program
Ensure unique affiliate/discount code is generated
Send creator their portal login and code


Coordinate product delivery:

Ship product to creator OR confirm they used their discount code to self-purchase
Track shipment and confirm receipt
Update GHL status at each step


Handle Meta Partnership Ads (whitelisting) setup:

Send the Partnership Ads request from our Meta Ads Manager
Guide the creator through accepting the request in their Instagram app
Confirm access is live in Ads Manager


Send content brief once the creator has received the product and whitelisting is confirmed
Move creator to "Active" status — handoff to our ad ops/creative team

Output Expectations (Very Important)
This role requires careful pipeline management, not speed.
You should be comfortable managing:

15–25 creators in active onboarding at any given time
Processing 5–10 new "Ready to go" creators per week
Daily pipeline review — no creator should sit in a status for more than 48h without action
100% follow-through — every creator who signs a contract must reach "Active" status

You must be:

Relentless with follow-ups
Comfortable managing multiple tools simultaneously

If something is stuck, you flag it. You don't wait.
Must-Have Skills

CRM management:

Comfortable with pipeline-based CRMs (Go High Level preferred, but similar tools work)
Tagging, status updates, follow-up scheduling, contact notes


Shopify basics:

Navigating Shopify admin to manage affiliate app (UpPromote)
Processing or confirming orders
You don't need to be a Shopify developer — just comfortable in the admin panel


Contract/document management:

Experience with PandaDoc, DocuSign, or similar e-signature tools
Following up on unsigned documents without being pushy


Clear written communication:

Professional, friendly English for creator-facing messages
Ability to explain simple technical steps (e.g., "how to accept Partnership Ads in Instagram")


Process management:

You can manage a checklist of 5–6 steps per creator without missing any
You keep clean notes in the CRM
You escalate issues before they become blockers



Bonus (Nice to Have)

Experience with affiliate marketing platforms (UpPromote, Refersion, GoAffPro, etc.)
Familiarity with Meta Business Manager or Ads Manager
Understanding of influencer/creator onboarding workflows
Previous work in DTC or e-commerce operations
Experience with Go High Level specifically
