About the Role
We are seeking a highly organised and detail-oriented Conveyancing Assistant to support a busy Australian legal practice. This role is ideal for someone with previous Australian conveyancing experience who enjoys working in a fast-paced environment and can confidently manage multiple files and deadlines.
You will provide administrative and operational support across residential and commercial conveyancing matters, assisting with file management, document preparation, settlement coordination, and post-settlement activities.
The successful candidate will work closely with the business owner and play a key role in ensuring smooth and efficient conveyancing processes.
Key Responsibilities
Conveyancing Administration
* Open and maintain conveyancing files within LEAP
* Prepare and update contracts and conveyancing documents
* Conduct accurate data entry and file management
* Prepare Conveyancing First Letters for Queensland matters
* Draft final letters and settlement-related correspondence
* Assist with post-settlement tasks and file follow-ups
* Monitor critical dates and follow up on outstanding requirements
* Support day-to-day conveyancing administration activities
* Assist with general legal administrative tasks as required
Task & Workflow Management
* Manage and monitor tasks through Microsoft Outlook
* Update task statuses and completion records
* Assist with workflow coordination and file tracking
* Maintain organised digital records and documentation
* Support process improvements and workflow efficiency initiatives
Systems & Software
Experience with the following systems will be highly regarded:
* LEAP
* PEXA
* Microsoft Outlook
* Microsoft Office Suite
* Outlook Task Manager
* OneDrive and cloud-based document management systems
Skills & Experience
Essential
* Minimum 2 years of Australian conveyancing administration or legal support experience
* Strong understanding of conveyancing processes and documentation
* Excellent attention to detail and organisational skills
* Strong written and verbal English communication skills
* Ability to manage multiple tasks and meet deadlines
* Ability to work independently and follow established procedures
* Proficiency in Microsoft Office and Outlook
Highly Regarded
* Experience with Queensland conveyancing matters
* Previous experience using LEAP
* Previous experience using PEXA
* Experience working remotely for Australian businesses
