About Us
Vantage Financial is a financial-operations company built specifically for contractors and construction businesses. Most bookkeepers treat every industry the same — general categorization, a P&L at year-end, and not much else. We don't. We work exclusively with residential and commercial contractors, helping them get their books fully organized, understand exactly which jobs are actually making them money, and position themselves to access real business capital — 0% business credit cards, lines of credit, and equipment financing — without guessing or applying blind.
We're a growing company, and this role is a foundational hire on our operations team. As we bring on more contractor clients, this position has real room to grow — from managing a handful of accounts today to eventually leading and training a team of bookkeepers as we scale.
About the Role
This role starts part-time, with a clear path to full-time as we bring on more contractor clients. This isn't just an entry-level seat — the person who does well here is being considered as a future team lead, someone who'll help train and oversee additional bookkeepers as we grow, not just manage their own accounts long-term.
This is a hands-on, full-cycle bookkeeping and job costing role, not a data-entry position. You'll be the person actually responsible for making sure our contractor clients' books are clean, accurate, and — most importantly — broken down job by job, so every client can see exactly what each project actually cost them and what it actually made them.
Day to day, that means managing bank and credit card feeds inside QuickBooks Online, reconciling accounts monthly, and using the Projects feature to tag every transaction — materials, labor, subcontractor costs — to the correct job. You'll be working across multiple contractor accounts at once, so strong organization and attention to detail matter as much as bookkeeping accuracy itself. You'll also need to understand contractor-specific accounting realities most bookkeepers never deal with — job costing, work-in-progress, retainage, and separating owner draws from real business expenses.
This role sits at the center of what we deliver to clients, so accuracy and consistency matter — a mistagged transaction or a missed reconciliation directly affects the numbers a client is making real business decisions on.
What You'll Do
Connect and manage bank/credit card feeds inside QuickBooks Online
Categorize and reconcile transactions monthly
Job cost every active and new project using QuickBooks Online Projects — tagging materials, labor, and other costs to the correct job
Properly track owner draws separate from business expenses
Communicate clearly on any transactions that need clarification
As we grow, help onboard and train additional bookkeepers joining the team
Requirements
Minimum 3+ years of bookkeeping experience with a construction industry background — general bookkeeping experience alone will not be considered. Must have direct experience with contractors or construction businesses specifically.
QuickBooks Online certification required
Must know how to use QuickBooks Online Projects — this is required, not optional
Must be comfortable building out a QuickBooks file completely from scratch for a contractor client — setting up the Chart of Accounts, categorization rules, and full Projects structure from the ground up, not just maintaining an already-organized file
Must be fully competent across the entire bookkeeping cycle — not just data entry or categorization, but true full-charge bookkeeping: reconciliations, financial statements, and clean month-end close, done independently
Strong hands-on experience with QuickBooks Online, including the Projects/job costing feature
Solid understanding of construction/contractor-specific accounting (job costing, WIP, materials vs. labor allocation, retainage, etc.)
Highly organized, detail-oriented, and comfortable managing multiple client accounts
Strong written English communication skills
Reliable internet connection and availability for regular working hours
Experience working with US-based contractor or construction clients specifically
