We are growing and currently work with a team of 5 Filipino VAs who support us in estimating, design, administration, and coordination.

About the Role
We are hiring a Construction Project Administrator to support the paperwork and tracking side of construction projects.
You will not estimate or manage crews.
Your role is to organize project information and keep documentation accurate throughout the project life cycle.
This allows our field lead to focus on production, quality, and client relationships.

Main Responsibilities
• Organize project folders in Google Drive
• Update project task trackers in Google Sheets
• Review Jibble time entries to ensure field crews are clocking into the correct project
• Collect and upload receipts and expenses by project
• Assist with change order forms and job cost updates in Excel
• Track subcontractor invoices, agreements, COIs, and lien waivers
• Support billing by preparing documents for QuickBooks Online
• Join brief team check-in calls when needed (every other day)

• Jibble (time tracking)
• QuickBooks Online
• Google Workspace (Gmail, Chat, Meet)

Work Schedule
• Onboarding: 6:30 AM – 2:30 PM Central Time (to learn workflow and sync with field teams)
• After onboarding: 8:00 AM – 4:00 PM Central Time
• Meetings are short (around 15 minutes) and only every other day.

Compensation

We base compensation on experience, skill, and communication ability.
A paid trial period will be used to ensure mutual fit.
